Job overview

We are offering an exciting opportunity to join the Community Mental Health Service as Team Administrator.

Our team of Non-Medical Prescribers work in partnership with GP practice staff to offer an annual physical health check and mental health review to people in the South Staffordshire area with a Severe Mental Illness (SMI) which are completed at patient’s own GP practice.  

We are looking for a highly skilled administrator to support the co-ordination of the SMI physical health checks taking place in GP practices and our secondary mental health service.  You will support the clinical staff and to contribute to the administrative aspects of this service across the geographical area.  

Training will be given, however, prior experience of a clinical system such as RIO or EMIS would be advantageous.

This role is for 30 hours per week and we are able to provide some flexible options in line with the services needs. There is also flexibility in base location within the South Staffordshire area.

The role is predominantly office based, there will be a requirement for some travel to GP Practices within South Staffordshire.

Main duties of the job

You will be organised and able to work autonomously but also a good communicator who can work well in our friendly team and bring administrative expertise to a busy and diverse service.  You will have the opportunity to develop systems and processes and work closely with colleagues within the Primary Care Mental Health team and GP Practices, to effectively meet key performance indicators.

You will be part of a team, responsible for providing a quality administrative service to the Community Mental Health Services supporting the Business Support Officers in the monitoring of performance against the Trust’s key performance indicators.  

Main Duties:

  • Provide administrative support to the team in the retrieval of information in relation to key performance indicators.
  • Data reporting and recording.
  • Provide a full range of office support systems including copying, scanning, preparing rotas, producing documents/letters.
  • Collate and input data in a timely manner into both manual and electronic forms and systems.
  • Interpret simple spreadsheets, have a good eye for detail and be able to spot data errors.
  • Accurately maintain secure patient health and staff records/systems in line with policy and standard operating procedure, to ensure data quality, confidentiality and compliance with the current GDPR and Data Protection Law.

Qualifications & Training

Essential criteria
  • NVQ Level 3 in Business Administration (or equivalent level of administrative experience).
  • RSA II or equivalent experience.
Desirable criteria
  • Formal IT qualification

Experience

Essential criteria
  • Relevant experience of working in an office environment
  • Relevant experience of undertaking office/business procedures with minimal supervision.
Desirable criteria
  • Experience of minute taking
  • Experience of using RiO or a patient clinical system.
  • Knowledge of Electronic Staff Record (ESR)
  • Significant experience of working within healthcare

Skills & Knowledge

Essential criteria
  • Ability to produce documents and reports to a high standard.
  • Proficient in the use of computer packages, particularly Microsoft Office (Word, Excel and Outlook).
