Job overview
Do you want to work as part of a highly successful administration team within learning and development. You will administer training courses in a timely manner, ensuring effective communication to all our customers. As well as, being a central holding place in the organisation for knowledge about training courses.
Main duties of the job
You will be working as part of a learning and development team.
You will be administrative support for all areas within learning and development, including mandatory and statutory training and corporate induction. You will ensure training records are kept up to date in a timely manner, as well as providing customer care to all levels of staff within the organisation, whilst role modelling the Frimley Health values.
Whilst in post you will work towards and complete the Level 2 Customer Service Practitioner Apprenticeship.

Detailed job description and main responsibilities
PURPOSE OF JOB:
Working as part of a team to administer training courses that benefit staff by equipping them to provide better, safer patient care by:
· Keeping accurate training records and provide reports.
· Administering training courses in a timely manner, ensuring effective communication to all users.
· Supporting others to administer their training courses in a timely way.
· Being a central holding place in the organisation for knowledge about training courses.
· Monitor and respond appropriately in regards to the Learning and OD inbox.
· Doing all the above in the most efficient and effective way
KEY TASKS & Responsibilities:
1. Course creation and booking
1.1. Process course administration forms for new training courses, ensuring the venues are booked and, if required, that equipment is in place and catering is organised.
1.2. Create new training courses on Oracle Learning Management (OLM) system.
1.3. Support OLM training coordinators to book their staff onto appropriate courses, in a way that maximises attendance and minimises impact on service delivery.
2. Service to Delegates
2.1. Act as a first point of contact, responding to telephone calls, emails and face to face enquiries about training. Do so in line with the organisation values and customer care standards.
2.2. Provide advice and information to staff about all training courses offered by the organisation.
2.3. Issue joining instructions, pre-course work and reminders to delegates.
3. Marketing courses
3.1. Update training information as required.
3.2. Update and circulate the course calendar
4. Service to Trainers and the Education & Learning Directorate
4.1. Provide a tutor pack with signing in sheet (from OLM), class list and evaluation sheets.
4.2. Prepare course materials (handouts) and store in boxes in the department for trainers to collect.
4.3. Assist the Band 4 Administrators with their workload as and when the need arises, provide cover during annual and sick leave.
5. Course attendance
5.1. Ensure that course signing in sheets are input to OLM in a timely manner, ready for reporting.
5.2. Action the Training policy regarding non-attendance (DNA) of Statutory / Mandatory training courses, sending letters to individuals and managers.
6. Reporting
6.1. Run standard reports from OLM and circulate at determined by departmental reporting schedule.
Whilst in post you will work towards and complete the Customer Service Practitioner Level 2.
This job description is an indication of the type and range of tasks that are expected of the post holder, and other duties may be required, in line with the role and the banding. It will be reviewed and amended from time to time in consultation with the post holder to take account of changing organisational need.

- IT Qualification to an NVQ level 2 or equivalent
- Good standard of literacy i.e. GCSE Grade 4 or equivalent
