Job overview
We are excited to offer an opportunity for a Band 3 Clinical Admin Officer to join our friendly and dedicated Trauma and Orthopaedics team to work 37.5 hours per week on a permanent contract.
This is a rewarding role where you’ll work closely with consultants and their multidisciplinary teams, playing a key part in supporting the delivery of high-quality patient care. We’re looking for someone with strong administrative experience, a proactive mindset, and a positive attitude towards change and improvement.

Main duties of the job
Provide comprehensive administrative support to the ward, theatre and wider service, including pre-operative administration in line with GIRFT requirements. Maintain accurate patient records on EPIC, including scanning/uploading documentation, patient transfers and discharges, EDD updates and arranging follow-up appointments.
Support patient flow and discharge processes, including booking transport, printing discharge documentation and liaising with clinical, medical records, pharmacy and other departments. Monitor the DPOP inbox, support LOS data collection, provide data for service requirements and audits.
Act as a professional first point of contact for patients, relatives, visitors and staff, responding to telephone enquiries promptly and escalating appropriately. Support nursing and medical teams, the Nurse in Charge and Manager with administrative tasks, service improvement projects.
Maintain ward/clinic stock, stationery and equipment; arrange porters, equipment transfers and estates requests; and ensure the ward clerk/nurses’ station remains safe, organised and presentable.
Work flexibly within a multidisciplinary environment, prioritising workload according to service needs and providing cross-cover when required. Adhere to Trust policies, confidentiality, patient dignity, health and safety, security, COSHH, manual handling, emergency procedures and incident reporting requirements. Undertake other appropriate duties consistent with the role and banding.
