Job overview

Treetops  is a 22 bedded ward, for planned elective orthopaedic surgery in Heatherwood Hospital. We are a team of approximately 55 staff members from trained nurses to housekeepers who work together to ensure an excellent patient experience.

We are looking to recruit an enthusiastic and self-aware individual who is adaptable and team focused to be a ward administrator to join our team.

As an integral member of the unit to provide support to the Managers of the areas / Senior Sisters / Senior Charge Nurses / Teams

To provide a wide range of duties always ensuring an efficient service to the department as per GIRFT recommendations and standards, 

 

Main duties of the job

 

  • General administrative duties including any speciality specific requirements that are compatible with the duties and responsibilities of the post.
  • Pre op phone calls – compliance with GIRFT requirements. and update the patients records.
  • Troubleshoot any day-to-day issues within the team / service e.g. leasing with IT providers.
  • Supporting area with detailed plan off the staggering process and updating the TCI spreadsheet on Teams
  • LOS (length of stay) Data collection and analysis support.
  • DPOP inbox (digital post op pathway) monitoring and escalation support.
  • Collection of data as needed / required for service needs
  •  Disseminate service information to staff across the relevant team/designated area as requested using various means of communication: telephone, letter, e-mail, face to face meetings.
  • Support Nurse in Charge / Senior Sister / Senior Charge Nurse with Frimley Excellence Board Project
  • Point of contact for all visitors to the unit. 
  • Ensure EPIC is maintained and up to date relevant to the Ward Admin role.

  • To provide support to the nursing and medical staff as required including booking transport and assisting with administrative organisation of the transfer/discharge and flow of patients within and outside of the trust. 
  • As required cross cover for sickness/leave of neighbouring wards or within the directorate.
  • To process patient documentation and liaise with ward staff to resolve any problems.
  • To work in a complex multi professional environment and under the guidance of line manager and/or Shift in Charge to manage, prioritise and change workload as required.
  • To work alongside Nurse in Charge, helping with flow of the department. Including discharge i.e., prints discharge papers for patients/relatives (carer)
  • Liaise with other departments for example, Clinical admin, pharmacy, medical records (daily basis) and support other departments in the build as needed ( rotation to other areas as required)

Qualifications

Essential criteria
  • High standards of English Communication skills verbal & written GCSE or equivalent
Desirable criteria
  • Excel and word qualification or relevant

Experience

Essential criteria
  • Experience of clerical duties
  • High standards of IT / Computer experience

  • Previous Healthcare Experience/ Hospital setting
  • Administrative/Clerical experience
  • Previous front facing Customer Service experience
