Job overview

This role will be responsible for the processing of new chemotherapy referrals for the Oncology patients attending the Infusion Suite. This will be done in a timely manner in order to achieve an efficient service for patients and within Cancer waits target dates. Some of the duties of this role include:

·         Scheduling of all subsequent chemotherapy appointments and blood tests for patients receiving chemotherapy in the Infusion Suite on the ARIA and CERNER system.

·         Ensure all patients that are deferred, on treatment break are scheduled accordingly on to ARIA and Millennium EPR system.

·         Ensure all new referrals are action immediately on the CASPER system.

·          Identify potential breach dates for new patients being referred for chemotherapy, identifying pathway issues that may require expedition or trouble shooting by using own initiative.

·         Liaise daily with the Nursing Team in the day unit and Oncology CNSS in the smooth operational running of the Chemotherapy referrals. Also schedule all follow up appointments to ensure a smooth patient pathway.

-Communicate effectively with patients, medical, outreach pharmacy at RSCH and nursing staff regarding treatment start dates and overcome any organisational obstacles.

·                   To communicate effectively with patients, medical staff, pharmacy, nursing staff and administration team regarding the start date of treatment and overcome any organisational obstacles.

·                Identify potential breach dates for new patients being referred for chemotherapy, identifying patient issues that may require expedition or trouble-shooting by using own initiative.

Detailed job description and main responsibilities

·         This role will be responsible for the processing of new chemotherapy referrals for the Infusion Suite in a timely manner in order to achieve an efficient service for patients and within the national Cancer waiting times targets.

·         Scheduling of all subsequent chemotherapy appointments for patients receiving chemotherapy on the Infusion Suite on both ARIA and Cerner booking systems.

·         Scheduling of blood tests for oncology patients who are on IV, s/c, IM and oral chemotherapy, including the blood test list sent to pathology.

·         To upload new patients on ARIA and process their referrals, including using Casper.

·         To be a point of contact for patients with queries regarding their appointments, and to pass calls over to relevant healthcare professionals such as nurses, patient navigators or the Chemo hotline if needed.

·         To contact patients with appointment times and answer any booking related queries.

·         To have a robust relationship with Royal Surrey pharmacy and aseptics units, including chemo lists, updates and ensuring the nursing team are up to date with any deliveries and scheduled chemo drop offs.

·         To be present in all bi monthly governance outreach meetings between ASPH and RSFT.

·         To develop a sound knowledge of chemotherapy and immunotherapy protocols to ensure the correct booking system. This includes recognising the urgency of referrals e.g small cell lung cancers.

·         Be able to plan own workload and provide comprehensive administrative and organisational support for the chemotherapy referrals and highlight any sudden rise in number of referrals to the unit manager and Matron for Infusion Suite and IV at Home.

·         Identify potential breach dates for new patients being referred for chemotherapy, identifying pathway issues that may require expedition or trouble shooting by using own initiative.

·         Liaise daily with the Nursing Team in the day unit and all oncology CNS in the smooth operational running.

·         To schedule all follow up appointments to ensure a smooth patient pathway.

Essential criteria
  • Experience of working in a front line position with the general public in NHS
  • Possess certificate in IT skills such as Microsoft word, Excel spreadsheet
  • Familiar with IT systems within NHS such Millennium EPR(cerner)
  • Have experience in coordinating patient appointments within an oncology setting
  • Strong administrative and communication skills along with ex health care coordination

  • Proficiency and maintains the accurate records
  • Efficiency n responding to emails, communication skills
  • Ability to work in a fast pace environment
