Job overview

We are looking to appoint an enthusiastic, motivated individual to join our fast paced, dynamic research team. The post holder will provide administrative support to the wider R&D team and co-ordinate information between research participants and staff employed within the research unit and other related agencies.  The post holder will support the team to ensure that all studies are implemented to the standards governed by the EU Clinical Trials Directive, ICH Good Clinical Practice, Research Governance Standards for Health & Social Research, and Trust R&D requirements. We are small and friendly team, with a vested interest in providing people who use our services access to high quality research.  The post will be based at the Two Bridges Hub, Guildford Street, Chertsey, KT16 9AU.

Main duties of the job

The Research Administrator is responsible for providing ongoing administrative support of the research team. This includes assisting with the preparation of study materials for clinical trials, liaising with participants and clerical duties that facilitate the operational needs of the department.

The role is suitable for someone who is self-motivated, flexible, and able to adapt to changing demands. Good organisation and time management skills are essential; as well as the ability to maintain a professional demeanour whilst working under pressure and respecting confidentiality.

We are seeking someone with a minimum of 1 year working in an administrative role. Administrative experience within the NHS would be an advantage but not essential.

Detailed job description and main responsibilities

Main responsibilities- To support the R&D department with all administrative tasks such as:

  • Receive and take appropriate action on incoming telephone calls from participants, staff, and external organisations (e.g. study sponsors).
  • Responsible for preparing meetings for the department, including setting agenda’s and taking minutes.
  • Enter basic participant and clinical information into NHS computer systems.
  • Perform general clerical duties including photocopying and ordering of supplies for R&D staff
  •  Use the SABP ordering system to replenish stock levels if necessary.
  •  Co-ordinate all room bookings and arrange refreshments for meetings / training events where requested.
  •  Monitor the research inbox daily, and forward on queries in a timely manner.
  • Manage the research database, by keeping up to date research referrals in a timely manner.
  • Maintain the departments clinical laboratory equipment records.
  • Record laboratory temperatures daily.
  • Responsible for the maintenance of the departments standing operating procedures (SOP’s) database.
  • Responsible for keeping up to date all R&D staff CV’s and GCP’s records.

  • • Five GCSEs Grade C or above including English Language.

  • NVQ level 3 business admin qualfication
