Job overview

An exiting opportunity has arisen for a Patient Administrator to join our busy Cardiac Unit at St Peter's Hospital. As a patient administrator you are responsible for ensuring all patients and visitors to the Cardiac Unit are met with a welcoming and professional attitude and all administrative and secretarial functions are delivered to a high standard.

Main duties of the job

  • Providing a welcoming and professional first point of contact for all patients, co-ordinating their arrival through to departure.
  • Dealing with telephone  enquires in a prompt and effective manner, ensuring the provision of information and prioritising of queries as appropriate.
  • Demonstrate a reassuring manner when dealing with the patients and their relatives.
  • Ensuring that clinically validated referrals are booked appropriately in accordance with clinical priority.
  • Delivering efficient patient scheduling, leading to optimal use of laboratory capacity including short notice patient allocation.
  • Responsible for the safe storage, collation, tracking and organisation of  medical notes.
  • Managing the patient waiting lists against national waiting times and local agreed key performance indicators (KPI's) by using LUNA and liaising with the Patient Pathway Team and escalate as required.
  • Responsible for processing all Cardiac Unit letters and ensuring activity is recorded e.g. Pre-Assessment and procedures.
  • Contribute in the development of action plans where performance areas for improvement are identified.
  • Comply with all mandatory training and keep abreast of all as professional and personal learning and development.
  • Maintaining a clean and safe working environment.
  • Reporting all incidents and complaints in line with Trust policy.
  • Participating in Governance activities, audits and team meetings.
  • Complying with ISO standard / GDPR in respect of information and security management.

Detailed job description and main responsibilities

  • Flexibility in the working patterns to fulfil clinical requirements and be willing to adjust these at short notice to accommodate unexpected changes.
  • Using various systems such as Surrey Safe Care (Cerner), Evolve (Electronic medical records) to help manage the 18 week patient pathway. Ensure changes notified by patients are added accurately and immediately, in accordance with required Trust standards of work.
  • Working as part of a team, assisting with the training of new and temporary staff, providing support and guidance as appropriate.
  • Any other duties appropriate to the role and grade to support the Cardiology  department and organisation within the broad scope of the job.
  • Ability to work unsupervised.
  • Support the senior patient administrator in the accurate entry of information for management reports.

Qualifications

Essential criteria
  • English GCSE Grade C or equivalent
Desirable criteria
  • NVQ 3 in Business Administration; or equivalent administrative
  • AMSPAR medical terminology

Experience

Essential criteria
  • Previous administration experience of working in a busy office and dealing with conflicting demands
  • Experience in using LUNA and patient validation
  • NHS Experience
Desirable criteria
  • Minute Taking
  • Experience in using Surrey Safe Care

Knowledge

Essential criteria
  • Understanding GDPR and Informational Governance
  • Good range of administrative procedures
  • Highly competent user of MS Office – including Excel
  • Understanding of RTT Pathways
Desirable criteria
  • Knowledge of the process for C2Cs and MDS referrals
  • Dictate IT knowledge

Skills
