Surrey & Borders NHS Foundation Trust is looking to recruit a fixed term (6 months) part-time (0.4wte) Band 3 Administrator for the Adult Neurodevelopmental Service to provide admin support to the service, it's practitioners, patients and health and social care colleagues.

You will need to be an enthusiastic and resourceful person, an excellent communicator who is well organised, self-motivated and able to work to their own initiative and as part of a team.

Applicants should have a demonstrable background in administrative support roles, be able to work under pressure and also enjoy working within a team environment.

The smooth running of the office of the Adult Neurodevelopmental service (NDS) through comprehensive, efficient and high quality secretarial and administrative services and collaboration with service admin and  colleagues

To ensure efficient and appropriate administrative support to enable the NDS to provide the best clinical support possible to people who use our services.

This will involve prioritizing and organizing the day-to-day workload while maintaining confidentiality of information throughout the full range of duties involved.

Detailed job description and main responsibilities

·      To be responsible for maintaining the confidentiality and security of client data in accordance with Trust policy

·     To be able to use S1 and other health record systems and accurately enter information. 

·  To undertake secretarial duties including preparing letters to GPs/other health care professionals to support the administration team.

·  Answer telephone enquiries/messages and transmit to team members according to priorities; maintaining a helpful and courteous manner at all times

·       Answer and respond to any queries staff have on a day-to-day basis

·       To administer the travel claim system and ensure claims are valid

·       Distribution and date-stamping of all incoming/outgoing post.

· Support team members in liaising with service users /relatives/carers/secretaries/GP’s and other relevant care agencies

·       Maintain an effective filing system, including retrieval of files from archive storage

·      Photocopying and maintaining stocks of relevant forms and leaflets for team use

·      Coordinate and book rooms for meetings and clients’ appointments

·   To liaise with estates department regarding any repairs required within the base in order to maintain a safe working environment

·       Undertake typing of letters, memos & reports as required.

·  To implement Trust and team policies/procedures and propose changes to practices if necessary.

Person specification

Knowledge

Essential criteria
  • GCSEs Grade C or above (including English Language) or equivalent
Desirable criteria
  • RSA3/NVQ3 or equivalent

Knowledge

Desirable criteria
  • Formal/recognised Administrative qualification or training

Experience

Essential criteria
  • Significant experience working with PC/word processing/spreadsheets etc
  • Good working knowledge of administrative and secretarial processes e.g. electronic filing systems and formatting documents/report

Experience

  • Experience responding to telephone queries and concerns from patients / customers
Desirable criteria
  • Previous experience working as an administrator in a team
