Job overview

We are excited to offer an opportunity for a Band 3 Clinical Admin Officer to join our friendly and dedicated Trauma and Orthopaedics team to work  37.5 hours per week on a permanent contract. 

This is a rewarding role where you’ll work closely with consultants and their multidisciplinary teams, playing a key part in supporting the delivery of high-quality patient care. We’re looking for someone with strong administrative experience, a proactive mindset, and a positive attitude towards change and improvement.

Main duties of the job

  • Provide comprehensive administrative support to the department, ensuring the efficient delivery of services.
  • Effectively plan and organise own workload using appropriate planning tools, demonstrating excellent time management skills and proactively escalating any anticipated issues that may impact deadlines.
  • Manage consultants' requests for urgent correspondence, medico-legal reports, and other ad hoc communications, ensuring all work is completed in accordance with Trust policies and procedures.
  • Source, collate, and organise information to support work activities, maintaining confidentiality and data protection standards at all times.
  • Respond to queries from colleagues, GPs, and patients in a professional, timely, and customer-focused manner.
  • Ensure secure systems and processes are maintained for the storage and handling of all resources, including electronic and computerised information.
  • Scan and upload relevant patient documentation accurately into the Trust's Electronic Patient Record (EPR) system.
  • Support clinicians with the preparation and distribution of patient correspondence through Epic, including resolving incomplete patient details and incorporating required attachments.
  • Handle all telephone enquiries professionally and efficiently, meeting departmental and Trust performance targets.
  • Utilise a range of IT systems and applications effectively to support departmental operations and fulfil role requirements.

Qualifications

Essential criteria
  • Good education to GCSE standard or equivalent experience
  • ECDL or equivalent
  • NVQ Level 3 Administration or equivalent practical knowledge.

Experience

Essential criteria
  • Experience of working in an office environment
  • Experience of working within a team environment
Desirable criteria
  • Working in the NHS in a hospital/private practice/GP setting.
  • Call centre experience

Skills

Essential criteria
  • Ability to communicate clearly.
  • Ability to follow clear instructions and feedback to senior staff.
  • Logical reasoning i.e. providing/receiving routine/sensitive information requiring tact.
  • Competent with current software programmes (i.e. MS Word, Excel, PowerPoint)
