Frimley Health NHS Foundation Trust is looking for a proactive Energy Officer to join our Quality and Assurance team within the Estates and Facilities directorate. Reporting to the Head of Sustainability, you will provide essential data, administrative and coordination support that helps the Trust monitor energy and water consumption and deliver its environmental and sustainability objectives.

This is an excellent opportunity for someone who enjoys working with data, has a strong eye for detail and takes pride in maintaining accurate records. You will collect, monitor and validate energy and water usage information across our Trust sites, identify unusual trends and support the preparation of quarterly and annual environmental reports.

 

Main duties of the job

A key part of the role will involve checking utility invoices, investigating straightforward billing queries and liaising with suppliers to help ensure charges are accurate and minimise the risk of unnecessary expenditure. You will also support environmental audits and compliance visits, maintain records and filing systems, coordinate meetings and respond to routine enquiries.

You will work collaboratively with colleagues across Estates and Facilities, utility providers and data analysts, helping to ensure the Sustainability team operates effectively and has reliable information to support decision-making.

Detailed job description and main responsibilities

Energy and Water Data Management

  • Collect, monitor and accurately record energy and water consumption data across Trust sites.
  • Maintain and organise datasets in line with established procedures.
  • Identify unusual consumption patterns or significant changes and bring these to the attention of the Head of Sustainability.
  • Prepare and organise data to support quarterly and annual environmental and sustainability reporting.

Utility Invoice Validation

  • Carry out routine checks on utility invoices to ensure charges and usage information are accurate.
  • Investigate straightforward billing queries using current and historical data.
  • Liaise with utility providers where required and escalate complex discrepancies to senior colleagues.
  • Support the team in reducing the risk of incorrect billing and unnecessary expenditure.

Audit and Compliance Support

  • Provide administrative support for internal and external environmental audits and compliance visits.
  • Prepare documentation and gather relevant records ahead of inspections and audits.
  • Maintain accurate and accessible electronic records relating to sustainability, utilities and compliance.

Team Administration and Communication

  • Act as a first point of contact for routine enquiries to the Sustainability team.
  • Manage the team’s shared inbox and electronic filing systems.
  • Coordinate calendars, meetings and room bookings across Trust sites.
  • Build effective working relationships with colleagues across Estates and Facilities, data analysts and external utility providers.

Working Safely and Responsibly

You will be expected to take reasonable care of your own health and safety and that of others, reporting any hazards, risks or incidents promptly and following relevant Trust policies and procedures.

ou will also maintain confidentiality and comply with Trust requirements relating to equality, diversity, Freedom of Information and Data Protection.

Essential criteria
  • Educated to A-Level or equivalent experience
  • Evidence of continuing professional development
Desirable criteria
  • Awareness of NHS Sustainability and Net Zero commitments
  • Knowledge of energy data systems or databases

Experience

Essential criteria
  • Experience in data collection, monitoring, or administration
  • Experience of working in an administrative or technical support role
  • Experience of preparing reports or summaries from data
Desirable criteria
  • Experience working within estates, facilities, or sustainability functions
  • Experience supporting audits, compliance checks, or inspections
  • Previous experience of working in the NHS or a large, complex organisation

Skills and Knowledge

  • Ability to work effectively as part of a team and independently
  • Strong communication skills, both written and verbal, with the ability to work with staff at all levels
  • Good organisational skills with the ability to prioritise workload and meet deadlines
  • Ability to use own initiative to progress and achieve objectives

  • Ability to achieve accuracy, maintain attention to detail and quality-check own work
