We are very pleased to invite applications for the position of a Band 3 Learning & Development My Learning Administrator with the opportunity to undertake a Level 3 Business Administrator Apprenticeship within the Learning & Organisational Development Department at the Royal Surrey NHS Foundation Trust, Guildford. 

To act as a first point of contact within the Education Centre for staff accessing learning 
support and MyLearning queries within the Trust. The role supports a wide range of administrative processes, liaising with staff across the organisation, external organisations and members of the public, while ensuring the safety and well-being of all visitors to the centre. 

 

This is an exciting opportunity to join the Learning & Organisational Development (L&OD) team, supporting the administration and development of the Trust’s MyLearning platform and digital learning services. We are looking for someone who is motivated to strive for excellence, able to work on their own initiative and maintain a high standard of accuracy and attention to detail. The successful applicant will demonstrate a confident can-do attitude and present a positive approach to their team and all staff across the Trust. We ask that you will be able to multitask, organise your time effectively, prioritise where needed and proactively manage your busy workload accordingly. 

The post holder will initially join the Team in the administrator role and then will be onboarded to the next available Level 3 Business Administrator Apprenticeship. Please note you will need to meet additional apprenticeship eligibility checks. 

 

 

Main duties of the job

The role requires excellent communication and organisational skills, a high level of accuracy and attention to detail, teamwork, competent digital skills, and a strong desire to deliver professional customer care are essential. 

Working within the Standards of Procedure set out by the Trust, and with support from the Digital Project Manager and the Learning & Organisational Development team, the post holder will provide an efficient, effective and customer-focused administrative service in all 
dealings with staff and visitors within the hospital and users of the Education Centre and MyLearning platform. 
Organise and prioritise own workload on a daily basis to ensure that time deadlines are met and that urgent work is accommodated. Support the Learning & Organisational Development team (ML team) with inbox management, document preparation, course creation, reporting 
and maintaining MyLearning and other L&OD systems. 
Key aspects of the role include answering telephones, welcoming staff and visitors into the Centre, dealing with queries in person and via email inboxes, supporting MyLearning queries, room bookings for training sessions, setting up and updating information on Roogle, booking rooms for internal and external trainers, communicating this information and 
supporting trainers when on site. Supervision and support, both direct and indirect, will be provided during all tasks, with ongoing development through the Level 3 Business Administration Apprenticeship and 
through on-the-job learning within the Learning & Organisational Development and MyLearning service.

Detailed job description and main responsibilities

To successfully complete the MyLearning interactive administration training 
programme and become competent in the use of the learning management system. 
• To assist in the creation and modification of e-learning content utilising Articulate 360 
and Captivate authoring software, working with Subject Matter Experts (SMEs) and 
ensuring content created follows appropriate learning principles such as Bloom’s 
Taxonomy. 
• To provide timely, consistent and appropriate advice and support for learners across 
the Trust on a range of MyLearning system issues and queries, taking advice from 
the Digital Project Lead or L&OD team when required. 
• Under the direction of the Digital project manager, design, deliver and evaluate 
values-based learning and organisational development programmes that transfer into 
workplace practice and increase team and individual performance under the direction 
of the Systems Team Leader 
• Ensure prompt action in re-assigning passwords and log-ins on MyLearning. 
• Keep information on the internal ROOGLE page up to date and accurate, including 
relevant learning and development contact details. 
• Take responsibility for responding to the L&OD and MyLearning Support inboxes and 
deal with all enquiries within 3-5 working days. 
• Support the maintenance and updating of courses, sessions and learning resources 
on the MyLearning system. 
• Assist the Learning and Organisational Development team with uploading and 
maintaining e-learning materials and learning resources on the MyLearning platform.

Information Management 

• To work with the Digital project manager to create and issue standard and bespoke 
reports containing highly complex data to senior and other manager’s e.g. statutory 
and mandatory training, appraisal outcomes, training needs analysis, learning 
outcomes.

To work with the Digital project manager to undertake a scoping exercise to determine the requirements of implementing various modules of Electronic Staff Records (ESR) and develop associated project plans for implementation. These will include: talent management, appraisal, learning paths. 
• To regularly carry out data quality checks on the systems in liaison with Learning and Development, Workforce Information, Recruitment and Resourcing and the wider HR directorate and pursue action to correct identified errors 
• Work with the Digital project manager to create and implement engaging, interactive e-learning packages to support requirements of the Trust by:

Ensuring adequate IT software is installed (Articulate and Captivate) 

o Encouraging staff completion of learning 
o Auditing staff appraisals and performance 
o Supporting and resolving any issues for learners 
o Reporting attendance and performance statistics 
o Facilitating E-Learning sessions 
o Marketing and promotion of learning packages 
o Evaluating success of learning

Qualifications

Essential criteria
  • Educated to GCSE level and to include Maths and English at a grade C/4 or above or equivalent.
  • Evidence of NVQ Level 3, equivalent Level 3 study or relevant previous experience

Skills, Knowledge and Experience

Essential criteria
  • Demonstrable experience in dealing with learning or education enquiries and dealing with sensitive and confidential information.
  • Experienced MS Office user – particularly PowerPoint, Excel and Word
  • Knowledge of Audio-visual systems
  • Proven experience in working in an administrative role
  • Excellent administration skills able to coordinate annual plan of courses and processes within an environment where there may be competing priorities
Desirable criteria
  • Proven experience in working within a learning environment, booking courses, rooms and making sure that venue and equipment are to the quality standard for all events
  • Experience of dealing with a range of stakeholders from board to ward and provide general advice/guidance on courses or professional development
  • Setting up Audio Visual equipment) i.e. laptops, projectors
  • Experience in using electronic booking systems
