Neurophysiology Receptionist / Administration Assistant – Royal Surrey County Hospital
Location: Level B, Clinical Measurements and Clinical Neurophysiology
Applications are invited for the role of Neurophysiology Receptionist / Administration Assistant, supporting both reception and administrative functions within the Clinical Measurements and Neurophysiology Services.
The post holder is first point of contact at the Neurophysiology Reception desk and they will play a key role in supporting patients attending the Neurophysiology and Pacing clinics, including greeting patients on arrival, assisting with check in, and supporting the consultant and team of clinical physiologists, booking specialist diagnostic investigations appointments.
Excellent communication and organisational skills are essential, as the role involves direct contact with patients, carers, hospital transport, and a wide range of clinical and non clinical teams both within and outside the Trust.
The successful candidate will be adaptable, willing to learn, and comfortable working in a busy environment. Flexibility is required to support varying service needs. The post holder will contribute to maintaining high standards of patient care, communication, privacy, and safety in line with Trust policies and data protection requirements.
Previous administrative experience is desirable but not essential, as full Trust and departmental induction and training will be provided.
Main duties of the job
Provide a professional and efficient reception service for the Neurophysiology and the Pacing Teams.
Act as a key member of the Administration Team, supporting neurophysiology operations.
Undertake a range of administrative tasks to a high professional standard. Including to deal with all post, phone calls and emails etc on a daily basis and prioritise as necessary to ensure clinicians and their administration team are aware of urgent results and information.
Work collaboratively with Medical, Physiologists, Medical Secretaries and Administrative colleagues.
Support patient flow by assisting with check in, booking appointments for specialist diagnostic investigations and appointment queries, and general navigation.
Maintain accurate records and ensure compliance with Trust policies and data protection.

Detailed job description and main responsibilities
Ensure accuracy and completeness of Patient administration on Surrey Safe Care (Cerner), entering admissions, transfers and discharges. Ensure accuracy of Department Management screens on Surrey Safe Care (Cerner).
Ensure all patient diagnostic reports/case notes are filed and prepared promptly for the coding process. Ensure that notes are sent for coding.
Carry out Clinical Measurements and Neurophysiology reception duties, assisting patients, relatives and carers, and members of staff with their enquiries, referring enquiries to clinical measurements and neurophysiology staff where appropriate.
Undertake clerical duties as required by Neurophysiology team.
Arrange patient appointments and transport as required by Neurophysiology team.
Ensure patient reports/case notes are moved promptly from the Neurophysiology area in order to support the prompt coding of patient treatment. Record the movement of patient case notes from the Outpatients following the Case note Tracking Procedures.
File medical reports and other patient documentation in patient case notes in accordance with the approved system.
Assist with booking, confirming, and rescheduling patient appointments under the guidance of administrative staff or Clinicians
Contact patients by phone or letter to confirm appointment details.
Send out information leaflets where appropriate and provide telephone information/advice to patients as agreed within the team and in accordance with guidelines as per PILs
Attend all relevant training sessions and meetings.
Collect clean linen as required. Support the service manager in monitoring the cleanliness of the neurophysiology service.
Undertake such other similar duties as may be required by the Neurophysiology team.

- Grade C or above GCSE/equivalent
- English language
Skills, Knowledge and Experinence
Essential criteria
- Previous experience in a reception or other customer facing role
- A good understanding of NHS/other administrative systems
- Used to working in a busy environment
Desirable criteria
- IT Skills, Working knowledge of Microsoft Office with intermediate keyboard skills
- Ability to carry out accurate filing and maintain organised records
- Understanding of data protection and confidentiality issues
Applicant requirements
The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
