Job overview
We are looking for an enthusiastic and motivated health care assistant to join our paediatric ward team at Royal Surrey County Hospital. Hascombe Ward has 23 beds and cares for babies and children up to the age of 19yrs. The ward covers a variety of specialities including general paediatric medicine, general surgery, orthopaedics, oncology, ENT and maxillofacial. The ward also includes a 24hr Paediatric Assessment Unit.
We are looking for a flexible and hardworking individual to join our friendly multi professional team with an aim to develop a multi-skilled and flexible workforce. We will provide you with support and training to develop new skills and continuous professional development.
Your role will be to assist the nursing staff in caring for children and families on the unit and to ensure that the ward environment is efficiently and safely maintained. You must be able to work as a member of a team, but also be able to prioritise and organise your workload.

Main duties of the job
To be the first point of contact for people attending the ward or on the telephone and directing them to the appropriate place. To keep electronic admissions and discharges up to date. To ensure notes are appropriately filed.
To provide full administrative and clerical support to the ward team and medical staff. To be a full member of the ward team, and assist in the smooth running of the ward. The role is to be agreed with the senior sister to meet the needs of the service.

Detailed job description and main responsibilities
- Ensure accuracy and completeness of Patient Administration System (APAS), entering admissions, transfers and discharges. Ensure accuracy of Ward Management screens on APAS.
- Ensure patient case notes are moved promptly from the ward area in order to support the prompt coding of patient treatment. Record the movement of patient case notes from the ward following the Case note Tracking Procedures.
- File medical reports and other patient documentation in patient case notes in accordance with the approved system
- Ensure all patient case notes are filed and prepared promptly for the coding process.
- Carry out ward reception duties, assisting patients, relatives and carers, and members of staff with their enquiries, referring enquiries to ward staff where appropriate.
- Undertake clerical duties as required by ward team.
- Arrange patient appointments and transport as required by ward team.
- Participate with the Team in the recovery of uncoded episodes on Hascombe Ward to comply with the Trust’s Coding Policy. Take responsibility for tracking and rectifying missed coding from the ward.
- Assist patients with completion of menus where necessary.
- Assist with the distribution of meals to patients where appropriate
- As required, collect and deliver specimens, x-rays, etc to other wards or departments
- If requested by the nurse in charge, collect medication from pharmacy.
- Report faults of facilities and equipment through the appropriate channels.
- Return patient property and case notes to the Relatives Officer as required
- Attend all relevant training sessions and meetings.

Qualifications
Essential criteria
- Good general standard of education to GCSE level or equivalent in English
- NVQ 3 or equivalent level of experience
Skills, Knowledge & Experience
Essential criteria
- Experience of dealing with children and their families, and the general public
- Experience of working in a large complex organisation and multidisciplinary environment
- Experience of working in a child health team
- Ability to effectively communicate & negotiate with children of ages 0-18years and their families.
- Have an awareness of levels of ward stock and support the ordering and supply of stock
- Ability to undertake basic skills such as observations on a age range of patients between 0-18years
- Ability to process conflicting/controversial/sensitive information
