Job overview
The postholder will assist the provision of quality patient care through dedicated administrative and clerical support and continuous improvement.
Based in Kingston Dialysis Unit the post holder will support administrative and clerical issues relating to patients’ pathway of care, including reception duties for the dialysis unit.
Main duties of the job
To work as part of a clinical team assisting the nursing team to ensure that patients are admitted efficiently for outpatient appointments, pre-admission appointments, investigative treatments, diagnostic procedures and inpatient and day case operations within national guidelines and in accordance with the trust’s Patients Access, Booking and Choice Policy. To provide administrative support to consultant/clinical teams.

Detailed job description and main responsibilities
- To work as part of a clinical team assisting the nursing team to ensure that patients are admitted efficiently for outpatient appointments, pre-admission appointments, investigative treatments, diagnostic procedures and inpatient and day case operations within national guidelines and in accordance with the trust’s Patients Access, Booking and Choice Policy. To provide administrative support to consultant/clinical teams.
- To ensure that the information is recorded accurately and comprehensively on the Trust PAS system(s).
- Disseminate patient and healthcare professional correspondence in a timely manner, including clinical correspondence and discharge summaries, to achieve quality measures.
- Meet and great patients to the unit reception, booking and recording patient appointments as required.
- The postholder will have access to Iclip pro/Cerner. The postholder will keep the computer tracking system updated, ensuring that any medical notes in your possession are kept in numerical or alphabetical order and that they are kept in a non-public area and that all patient documentation is filled in patients’ notes &/or transferred to appropriate ward, medical records &/or other departments as required
- Provide information service for elective patients (including distressed and anxious patients/relatives as required). Be aware of the needs and concerns of patients and provide a friendly, efficient and courteous service to patients, relatives and visitors, providing them with advice and information as appropriate. Use empathetic approach to patients and/or relatives seeking assistance from clinical staff/senior managers as appropriate.
- Promptly answer telephone enquiries, taking and relaying messages in a polite and helpful manner, taking action as appropriate. This will include enquiries from patients, their GPs and community hospitals. As appropriate escalate issues and complaints that may arise. v
- Provide cover for colleagues across the specialty/clinical directorate during periods of planned annual leave and sickness.
- To undertake additional administrative tasks and responsibilities within the specialty/clinical directorate as required.
- Adhere to all Trust policies including Infection Control, Hygiene Code, Data Protection Act, and Uniform Policy, taking appropriate account of patients’ rights and diversity and ensuring fair access to services.
The post holder will undertake any other duties which may be reasonably regarded as within the nature of the duties, responsibilities and grade of the post as defined, subject to the provision that appropriate training is given and that wherever possible significant changes of a permanent nature shall be mutually agreed and incorporated into the job.

Qualifications
Essential criteria
- Good general education with GCSE or equivalent in English at grade C or above
Desirable criteria
- NVQ level 2 in business Administration or Customer Care or equivalent
- ECDL or equivalent
Experience
Essential criteria
- Experience of administration work
- Experience of working in a customer/patient focused environment
Desirable criteria
- Experience of working in a healthcare setting
Knowledge and Skills
Essential criteria
- Good communication skills, both written and verbal
- Computer literate, with experience of using a keyboard
- Demonstration of effective time management abilities
- Knowledge of databases, spreadsheets e.g. PAS, Excel or similar applications
- Ability to be able to receive/make telephone calls in a polite and helpful manner
Desirable criteria
- Knowledge of NHS service provision including the pathway of care
- Knowledge of healthcare administrative systems and processes
Applicant requirements
The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
