Job overview

An exciting opportunity has arisen to join our busy admin team within Learning Disabilities, located at Hafod Y Wennol Assessment Treatment Unit. The post forms part of a job share with a current established post holder - hours and days of work can be flexible to suit business needs.

The successful candidate must be enthusiastic and well-motivated with exceptional communication, organisational and interpersonal skills, and have the ability to prioritise own workload, work as part of a team, and on their own initiative.

This role provides essential admin support for all Learning Disabilities inpatient units across a wide geographical footprint and across 3 Learning Disability Directorates within the Mental Health and Learning Disabilities Service Group.

The successful candidate will have strong administrative experience, proficiency in procurement / ORACLE requisitions, and a thorough knowledge of all Microsoft Office packages, especially MS Teams.

Main duties of the job

The post holder will monitor and review contracts documentation including and not limited to service equipment / stationary / medical equipment and support the Business Support Manager in the facilitation of service contracts across the Directorate.

Stay calm under pressure and manage multiple priorities effectively.

Exhibit exceptional attention to detail in all tasks.

Excellent communication and team-working skills.

Communicate and liaise with staff and members of partner organisations to produce work to deadlines and play a key supporting role to ensure the effective running of the service.

Provide support to business and project processes, including providing knowledge to support service improvement initiatives from an admin perspective.

Support the Business Support Manager on the production of local administrative procedures and assist with the development of new systems and processes as part of the development of quality standards within the service. 

The post holder will provide a detail oriented and strategic procurement support to the Directorate and will manage the sourcing, negotiation, and purchasing of goods and services via the Oracle requisition system.

Essential Qualifications & Knowledge

Essential criteria
  • Educated to Diploma level qualification or Advanced Keyboard skills/qualification e.g. RSA 111 (or equivalent) plus In-depth and detailed knowledge and understanding of corporate procedures, the structure, policies, plans, regulations, management, and operational procedures of the Organisation acquired through on the job training, short courses, and experience.
  • Evidence of commitment to ongoing personal development

Essential Experience

Essential criteria
  • Experience of working in a complex organisation providing comprehensive administrative/PA service within a team
  • Experience of setting up and using filing/IT systems in a large organisation
  • Experience of dealing with confidential information, prioritising, and responding appropriately
  • Experience of dealing with members of staff / the public and external bodies professionally and sensitively and to maintain a high standard of confidentiality

Essential Aptitude and abilities

  • Ability to use the full suite of Microsoft office including virtual platforms
  • Ability to take comprehensive formal minutes and transcriptions
  • Able to understand and maintain confidentiality.
