Job overview
An exciting opportunity has arisen to join our dynamic and fast-paced Pharmacy Business Hub, based at Singleton Hospital.
The successful candidate may be required to provide support across other pharmacy departments, as well as the central Pharmacy Business Team, depending on service needs.
We are seeking to appoint a full-time team member (37.5 hours per week). The ideal candidate will be capable of managing and prioritising their own workload, demonstrating the ability to work independently and use their own initiative.
Applicants should possess strong numeracy skills, relevant office administration experience, and a solid working knowledge of Microsoft Office applications, with particular proficiency in MS Teams and Word.

Main duties of the job
The post holder will provide comprehensive administrative support to the Pharmacy team, ensuring that all tasks are completed efficiently, accurately, and to a high standard.
Responsibilities will include the accurate processing of documents in accordance with instructions from the line manager, as well as demonstrating initiative in the ongoing development and application of administrative systems and procedures.
When required, the post holder will be responsible for organising meetings, preparing and distributing relevant documentation, including agendas and approved minutes. They will also be expected to take and transcribe minutes in a clear and timely manner, ensuring effective communication and follow-up.

Qualifications and Knowledge
Essential criteria
- Educated to level 3 qualification eg NVQ/QCF or RSA 111 (or equivalent)
- Awareness of policies and procedures relating to dealing with confidential data, both personal and organisational. Working knowledge of filing/data systems including record management/destruction of records.
- Understanding of information governance protocol and importance of confidentiality.
- Knowledge of organisational policies, procedures and relevant IT packages.
- Evidence of commitment to ongoing personal development and willingness to undertake training and development as necessary.
Desirable criteria
- Business administration qualification.
- ECDL/ typing qualification
Experience
Essential criteria
- Demonstrate experience in an administrative role.
- Experience of communicating with all levels of professional staff and the public.
- Experience of dealing with confidential matters and sensitive data, and regarding the appropriate maintenance and storage of records.
- Ability to take comprehensive formal minutes and transcriptions and transcribing and minute taking.
- Advanced knowledge of word processing, spreadsheet and presentation packages.
Desirable criteria
- Administering finance systems, e.g. requisitions, budget monitoring
