Job overview

Applications are invited from qualified and experienced administration candidates to join our busy administration team.  We currently have a vacancy for a full time Band 2 Administration Assistants with the following teams listed below:-

ADHD and Autism Team, Keegan Court, Grassbanks, Gateshead, NE10 8DX 

This is a very busy service and the successful post holder will be a  member of the admin team to support the multi-disciplinary clinical team to provide a comprehensive, high quality administrative service at all times. The post holder must facilitate excellent customer service and be confident in dealing with service users face to face as well as on the telephone.  

Main duties of the job

Candidates must have proven demonstrable experience in the last 12 months of the following:

  • Experience in  working in a customer / patient  focused environment (face to face and telephone) - 
  • Excellent communication and interpersonal skills
  • Database inputting
  • Electronic filing systems 
  • Microsoft word/excel/powerpoint/office packages including email
  • Fast, accurate typing/keyboard skills
  • Typing letters
  • Good verbal and written communication skills
  • Ability to be self-directed, motivated and be able to contribute positively within a team
  • Well organised and structured
  • Ability to change tasks at short notice
  • Reliable and punctual
  • The post holder will be expected to demonstrate flexibility in the role

The post holder will be able to demonstrate the ability to deal with possible exposure to highly distressing or highly emotional circumstances and will be expected to  participate on all relevant training courses appropriate to the role.

You should currently hold the required level of qualifications, as outlined in the Essential Criteria of the Personal Specification. If you do not meet this criteria you will not be shortlisted.

Person specification

Qualifications and Training

Essential criteria
  • OCR/RSA Level 2 Typing/Word processing qualification (or equivalent) and/or relevant demonstrable experience
  • Good general level of education to O-Level/ GCSE or equivalent in English Language
  • NVQ in Business Administration (or equivalent)
Desirable criteria
  • NVQ Level 2 in Customer Care (or equivalent)

Skills and Knowledge

Essential criteria
  • Working knowledge of Microsoft applications, including Outlook, Word, Excel and Power Point
  • Able to input data accurately and efficiently
  • Good communication and interpersonal skills, both verbal and written
  • Demonstrates good Customer Care Skills
  • Good working knowledge of office procedures
  • Good organisational and planning skills using own initiative
Desirable criteria
  • Knowledge of working in an NHS environment

Experience

Essential criteria
  • Experience of working in an administration role
  • Ability to uphold confidentiality at all times
  • Able to prioritise and plan own workload
Desirable criteria
  • Experience of working in an NHS/healthcare setting
