Job overview
Applications are invited from qualified and experienced administration candidates to join our busy administration team. We currently have full time vacancies (37.5hours Monday to Friday 9am to 5pm) for Band 2 Administration Assistants with the following teams:-
ADHD and Autism Team based at Keegan Court, Grassbanks, Gateshead, NE10 8DX
Newcastle North-East Community Treatment Team based at Molineux NHS Centre, Newcastle upon Tyne NE6 1SG.
These are very busy services and the successful post holders will be members of the admin team to support the multi-disciplinary clinical team to provide a comprehensive, high quality administrative service at all times. The post holders must facilitate excellent customer service and be confident in dealing with service users face to face as well as on the telephone. Candidates must be adaptable, work well as a team and provide a positive patient experience which are essential skills for the role of Administration Assistant.
Main duties of the job
Candidates will be responsible for administrative functions and must have demonstrable recent 12 month experience including, but not limited, to the following: (see job description for further information):
· Experience working in a customer / patient focused environment (face to face and telephone)
· General administrative duties
· Fast, accurate typing/keyboard skills
· Typing letters/reports
· Ability to be self-directed, motivated and be able to contribute positively within a team
· Ability to change tasks at short notice
· Reliable and punctual
· The post holder will be expected to demonstrate flexibility in the role
· The post holder will be able to demonstrate the ability to deal with possible exposure to highly distressing or highly emotional circumstances and will be expected to participate on all relevant training courses appropriate to the role
You should currently hold the required level of qualifications, as outlined in the Essential Criteria of the Personal Specification. If you do not meet this criteria you will not be shortlisted.

Qualifications and Training
Essential criteria
- OCR/RSA Level 2 Typing/Word processing qualification (or equivalent) and/or relevant demonstrable experience
- Good general level of education to O-Level/ GCSE or equivalent in English Language
- NVQ in Business Administration (or equivalent)
Desirable criteria
- NVQ Level 2 in Customer Care (or equivalent)
Skills and Knowledge
Essential criteria
- Working knowledge of Microsoft applications, including Outlook, Word, Excel and Power Point
- Able to input data accurately and efficiently
- Good communication and interpersonal skills, both verbal and written
- Demonstrates good Customer Care Skills
- Good working knowledge of office procedures
- Good organisational and planning skills using own initiative
Desirable criteria
- Knowledge of working in an NHS environment
Experience
Essential criteria
- Experience of working in an administration role
- Ability to uphold confidentiality at all times
- Able to prioritise and plan own workload
Desirable criteria
- Experience of working in an NHS/healthcare setting
- Experience using stock
- Experience of working with paper-based and electronic filing systems
