Job overview

We are looking for a friendly individual with initiative and a positive approach to work as part of a team for the North East and North Cumbria Abdominal Aortic Aneurysm (AAA) Screening Programme, based within Queen Elizabeth Hospital, Gateshead. You will ensure provision of an effective and efficient administration office. There will be a need to assist with data entry and actively monitor appointments using the relevant I.T software systems.

The post holder will have the ability to communicate positively at all levels as well as being able to manage own workload by prioritising tasks accordingly to meet national screening targets. The successful candidate will be educated to GCSE standard or equivalent and have working knowledge of Microsoft Window package and possess good interpersonal and organisational skills, be a team player and work individually using initiative.

A flexible approach to work within the core hours of the service: Monday to Friday 8am to 8pm and occasional Saturdays is essential to meet service needs.

Main duties of the job

To work as a team member within the admin office and provide a comprehensive administration role for the AAA Screening Programme.

To assist with data entry for the National Abdominal Aortic Aneurysm Screening Programme

To actively monitor appointments for AAA screening using the relevant screening software systems

To handle any queries or telephone enquiries in an accurate and professional manner

To deal with patient's notes and ensure they are kept safely, properly updated and the confidentiality of the information contained within is maintained

Manage own workload by prioritising tasks accordingly in order to meet screening targets and deadlines.

Carry out general administration duties e.g. filing, photocopying etc

Detailed job description and main responsibilities

Minute Taking

Deal with anxious patients with tact, persuasion, patience and discretion

Demonstrate a sensitive and professional approach to client groups

Recognise where communication difficulties arise and overcome barriers to understanding

Work alongside other screening staff within the Business Unit

Keeps the senior staff informed of workload and seeks advice where necessary

Handle routine and non-routine enquiries by letter/email and telephone

Works within agreed protocols maintaining patient confidentiality at all times

Carries out duties in accordance with the Data Protection Act

Participates in service reviews and actively put forward suggestions for improvement for own work area

Assist with the investigation of any complaints, adhering to strict deadlines as per Trust policy

Maintains a safe and clean environment in accordance with the Trusts Health & Safety policy

  • 5 GCSE or equivalent, including English and Maths
  • Knowledge of Microsoft office packages
