Job overview

We have an exciting opportunity for a competent, highly motivated, flexible and enthusiastic person to support the Legal Services team, based in the Queen Elizabeth Hospital, Gateshead.

The successful candidate will provide confidential and efficient administrative support for the service.  This post would suit an applicant who has fantastic IT skills and is able to manage a variety of electronic databases and spreadsheets.  The post requires excellent time management and organisational skills as well as interpersonal skills.

Main duties of the job

The post holder will provide a high quality administrative service to the Legal Services team in order to support the delivery of legal services to the organisation.

Detailed job description and main responsibilities

·       To provide timely and efficient general administrative support to the Legal Services team on a day to day basis.

·       To carry out a full range of administrative duties, including managing the team’s general email inbox, handling telephone queries, maintenance of case files and team spreadsheets, data collection and input, and the collation and preparation of records for disclosure to third parties.

·       To ensure that correspondence and disclosures are carefully prepared and forwarded to Coroners, solicitors, Trust staff and external bodies, as expediently as possible.

·       To assist in the monitoring of the Trust’s duty of candour compliance and providing support.

·       To be involved in ongoing training and development within the team.

QUALIFICATIONS & TRAINING

  • GCSE English and Maths or equivalent

  • Other relevant qualification

SKILLS/KNOWLEDGE

Essential criteria
  • Relevant IT skills, Microsoft Office (Outlook, Excel, Word)
  • Effective written and verbal communication skills
  • Good organising and coordinating skills
  • Ability to work with a full range of staff
  • Ability to work to deadlines and manage time under pressure
  • Ability to work alone and as part of a team
Desirable criteria
  • Familiarity with medical / legal terminology
  • Previous experience of medical records and hospital systems
  • Knowledge of the duty of candour, data protection and GDPR Regulations and requirements

EXPERIENCE
