Job overview

As a member of the Medical Education Team, you will provide high quality administrative support to the Undergraduate Medical Admin Lead.

 

You will assist in the administration of a complex medical undergraduate curriculum.

 

You will support medical students as a first point of contact for enquiries.

 

This role involves the use of electronic systems and resources. It requires effective communication with a diverse range of internal and external customers and you will process personal information relating to patients and medical students. You will maintain confidentiality and adhere to data processing regulations.

Main duties of the job

To communicate effectively with the other members of the Medical Education Team, the Director of Undergraduate Medical Education, Lead Clinical Teaching Fellow, and Specialty Clinical Teaching Fellows.

To communicate effectively with members of the Undergraduate Medical Education Team at the Newcastle University.

To display tact and persuasion when communicating with others around complex tasks relating to undergraduate provision.

To provide administrative support for Undergraduate examinations and formal assessments

To provide administrative support at various meetings, including the preparation of agendas, minutes and actioning decisions

To assist with the organisation of quality assurance visits

To monitor medical student attendance at teaching and take appropriate action, using established escalation processes for known non attendance

Participates as a member of the Trust Medical Education Team to enable delivery of high quality and innovative education programmes.

Detailed job description and main responsibilities

The post holder will support the planning and organisation of the annual teaching programme for medical undergraduates from Years 1 to 5

Excellent organisational and planning skills required to organise timetabled undergraduate teaching, administer examinations, monitor medical student attendance and organise undergraduate meetings, and book patient transport for their attendance at timetabled teaching events

The post holder will support the planning and coordination of end of placement examinations as well as shared regional examinations

Person specification

Essential

Essential criteria
  • Educated to NVQ 3 level or equivalent. Good basic education to GCSE level (including English and Maths).
  • Qualification in information technology i.e., ECDL or equivalent experience
  • Experience of delivering high quality, customer focused services, including dealing with complex queries and managing difficult customers
  • Experience of working within a busy administrative environment
  • Experience of positively managing own workload and actively contributing to team activities
  • Experience and a high level of competence of IT skills, including use of software (Microsoft Office packages), internet applications and a range of information resources
  • Excellent interpersonal and communication skills (verbal and written) including an ability to communicate at all levels professionally and courteously using tact and diplomacy
  • Excellent administrative skills and IT skills
  • Excellent organisational, time management and prioritising skills, including the ability to manage a high workload and work under pressure with minimum supervision
  • Ability to work as part of a team, sharing information and supporting team decisions
