Job overview

Applications are invited from hard working and organised individuals to join the admin team working in the Peter Smith Surgery Centre Reception at the Queen Elizabeth Hospital.

Main duties of the job

You should have previous experience of working in the NHS or healthcare environment within an admin environment. Good written and verbal communication skills are essential together with good organisational and planning skills.   You should also have knowledge of a range of administrative procedures and software programmes.   A knowledge of medical terminology would be advantageous but not essential. Applicants should have an NVQ Level II in Business Administration or equivalent experience.  Flexibility is essential in this role.

Detailed job description and main responsibilities

Provide a prompt, efficient reception service to patients, visitors and staff.

Ensure effective communication and information flows both internally and externally.

Ensuring effective utilisation of Careflow/Bluespier systems using date to access compliance.

Provide efficient coordination and administration and clerical support to the Surgery Centre/Theatres service including taking minutes as and when required, supporting senior theatre staff with Health Roster, arranging meetings and scheduling staff appraisals.

Provide information to assist performance reporting and resolution of queries or complaints (eg. Inphase) as required.

Collating performance information as required by the team, clinicians or service management.

To maintain and devise spreadsheets to assist in data collection and management.  To produce timely reports using Careflow as and when required.

To gather information for team members from other teams and agencies as required.

Contribute to delivering a high quality, efficient and effective service at all times complying with all relevant policies, procedures, guidelines and legislation.

Qualifications

Essential criteria
  • NVQ 2 Certificate in Business Administration or equivalent experience

Experience

Essential criteria
  • Experience of working in NHS or healthcare environment working in a secretarial or office environment
  • Experienced in using Microsoft Office packages
Desirable criteria
  • Experience of using hospital systems, including Careflow and Health Roster

Knowledge & Skills

Essential criteria
  • Effective written and oral communication skills.
  • Ability to demonstrate good organisational planning skills
  • Ability to work autonomously and also as part of a team, developing good working relationships with colleagues
  • Ability to handle distressing situations both face to face and on the telephone
Desirable criteria
  • Knowledge of medical terminology
