Medical Education Administrative Officer

 

We are seeking a Medical Education Administrative Officer to join the Medical Education team based at St Nicholas Hospital, Newcastle. This key role is responsible for ensuring high standard and efficient administrative support for Postgraduate Resident Doctors.

 

The successful applicant will have excellent customer service experience, excellent organisational and communication skills, experience of taking responsibility for managing own workload and meeting deadlines, able to work under pressure and maintain customer service focus in a fast-paced environment with changing priorities, and experience of team working to achieve objectives. A good working knowledge of Microsoft Office applications and ability to learn new IT skills as required.

The postholder is expected to be office based. With agreement, there will be some flexibility with arrangements after 1 year and upon demonstration that work is being carried out to the required standard.

Main duties of the job

  • Assisting in the provision of high level administrative support and coordination for the delivery of postgraduate teaching north of Tyne
  • Working closely with Medical Education Administrator, Medical Education Lead, Medical Education Manager, Medical Education team, Simulation & Education Development Leads, Teaching Fellows and Resident Doctors to deliver postgraduate education
  • Assisting with the training delivery of postgraduate trainee development programme courses
  • Supporting planning and organisation of Resident Doctor's inductions
  • Assisting with the organisation of North Tyneside & Newcastle postgraduate weekly teaching
  • Compiling teaching attendance records, issuing certificates, and collecting feedback for postgraduate teaching events
  • Issuing requests for IT accounts for all grades of resident doctors
  • Requesting lone working devices, supporting queries and non-usage 
  • Providing admin support for simulation events by assisting with set up, timing and role players
  • Assisting with arranging mid point review meetings between trainee doctors and college tutors
  • Supporting the management of trainee Balint groups
  • Providing a reception service for Medical Education and managing visitors and registers
  • Providing logistical and technical support to presenters and ensuring equipment works
  • Taking internal room bookings, liaising with speakers and creating links, where required
  • Monitoring and ordering stock 
  • Attending key postgraduate meetings and providing meeting support, when needed

Detailed job description and main responsibilities

This post will work within the Medical Education Team. This team works closely with Universities and NHS England (NHSE) to oversee the high-quality education and training of undergraduate medical students and postgraduate trainee doctors.

The postholder will assist in providing high level administrative support for the delivery of the postgraduate teaching North of Tyne.  This includes working closely with Medical Education Administrator, Medical Education Lead, Medical Education Manager, and senior members of the Medical Education team, Simulation & Education Development Leads, Teaching Fellows and Resident Doctors.

 

Assist with training delivered by the Trust for Postgraduate trainees, this would include; Trainee development programmes, supporting the planning and organisation of resident doctors’ inductions.  Arranging ad hoc training events and organising North Tyneside & Newcastle postgraduate weekly teaching. Compiling teaching attendance records, issuing certificates, and report of absence level reports when required. Collecting feedback for all postgraduate teaching events.   Issuing requests for IT accounts for all grades of resident doctors.  Requesting lone working devices and supporting queries and non-usage.

 

Provide admin support for simulation events by assisting with set up, timing and role players.

 

Assist with mid and end point reviews for trainee doctors, by arranging quarterly meetings for trainee doctors and college tutors. 

 

Support the management of trainee Balint groups.

Education and Qualification

Essential criteria
  • English and Maths GCSE A-C or equivalent level
  • Word-processing skills at Level 3 (OCR/RSA Level 3) or equivalent qualification(s) in relevant subjects or equivalent level of knowledge
  • Capable of working with confidential and sensitive information

Knowledge and Experience

Essential criteria
  • Ability to work under pressure, and maintain a customer-service focus, often with constant interruptions by telephone, urgent emails or in person
  • Proven ability to use Microsoft Office and related packages, including databases, spreadsheets, and inputting and updating electronic information
  • Ability to work alone with minimal supervision and manage own time and workload effectively
  • Capable of working with confidential and sensitive information
  • Sound knowledge of Medical Education
Desirable criteria
  • Awareness of medical education is desirable
