The NHS Counter Fraud Authority (NHSCFA) is the national body responsible all for matters relating to the prevention, detection and investigation of economic crime across the NHS. Aligned to the DH Health Group Counter Fraud strategy, the NHSCFA acts as the principal lead for the NHS and wider health group in counter fraud intelligence work.

This role will be based in our London office for a minimum of 3 days a week.

Working within the Corporate Affairs Directorate the postholder is responsible for providing a range of administration support across the organisation. This will include minute taking, maintaining action logs, management of the general enquiries mailbox, travel bookings, raising requisition and purchase orders, obtaining quotes for a range of goods, services and stationary, transcribing audio interviews, preparing slides decks, collating data and other information.

Main duties of the job

Minute taking at a range of meetings, projects and working groups throughout the organisation and management of the associated action logs, checking progress and implementation against deadline dates.

Oversight of the general enquiries mailbox and other shared mailboxes, reviewing queries and responding autonomously or redirecting as required.

Receive information from a variety of internal and external stakeholders, review content, request further information to ensure full understanding and coordinate responses. This will include handling complex and sensitive data requests.

Making travel and accommodation bookings for the whole organisation ensuring best value for money.

Detailed job description and main responsibilities

Obtaining quotes, raising requisition and purchase orders for a range of goods, services and stationary. Complete Goods received notices and maintain financial information. 

Transcribing audio interviews conducted by the National Investigation Team and LCFS/Complaints Officer.

Prepare slides decks on behalf of the Senior Management and Leadership Team and liaise with the digital designers to complete presentations in a timely manner.

Collate information, statistics and other data and prepare reports under the direction of the Executive Assistant and others as required. 

Extract information from a range of reports and present in alternative formats.

Use a range of web based and internal systems.

Knowledge and Experience

Essential criteria
  • Demonstrable knowledge and experience in office administration
  • Demonstrable experience of collating detailed, complex & sensitive information/data.
  • Demonstrable experience of reviewing queries and responding or escalating as required.
  • Practical application of Microsoft Office products.
Desirable criteria
  • Experience in raising requisition and purchase orders and using Integra of other financial system
  • Experienced in using sharepoint and TEAMS

Specialist Knowledge

Essential criteria
  • Demonstrable knowledge of the General Data Protection Regulations and management of sensitive and confidential data.
  • Demonstrable understanding of equal opportunities & diversity
  • Significant practical experience of supporting and liaising with senior managers including diary management, setting up meetings and taking action minutes
  • Demonstrable experience of accurate collation of detailed, complex & sensitive information or data
  • Experience to deal with non-routine issues such as problem solving for an area of work or developing alternative or additional procedures
Desirable criteria
  • Awareness of counter-fraud and corruption in private and public sector legislation

Qualifications

Essential criteria
  • GCSE (or equivalent) passes in Maths & English Lang.
  • NVQ Level 3 or similar in relevant subject or equivalent experience in business and administration
Desirable criteria
  • Diploma level in administrative studies or other relevant discipline
