Job overview
An exciting opportunity has arisen for an individual to join the Secure Care Forensic Community Administrative Team within Secure Care Services.
This role provides a comprehensive service to the Forensic Outpatient Department, which operates 8:30am – 4:30pm, Monday - Friday. Proven experience of working in similar work environment is required.
Main duties of the job
Duties include:
- Reception and relational/environmental security duties supporting staff, patients and visitors
- Diary management including room allocations
- Working from shared inbox
- Experienced in the use of Microsoft packages i.e Outlook and Word
- Knowledge of ordering stock
- Issuing and maintaining security equipment i.e. Key cards, SAS alarms, and using a variety of systems that are part of the security processes at the hospital. This is in line with Local Operational Procedures (LOP) which inform staff of their role relating to relational and environmental security
- Monitoring entry and exit to the building i.e visitors, service users, carers, items being brought into the unit, working closely with a variety of other staff.
- Checking equipment is operating as required i.e., radios, blick alarms etc.
- Coordinating the testing of radio frequency & function for the Site Response
- Completing security checklists with estates, facilities staff and external contractors i.e. equipment or tool count
- Escorting and chaperoning visitors & contractors
- Supporting with “lock down” in line with Trust Policy and Local Operational Procedures. This may include monitoring flow through the building, managing access and egress of the response team, first responders or the emergency services
- Working with the Forensic Community Service Team Manager to ensure qualities and standards are met within the Forensic Out-Patient Department

You should currently hold the required level of qualifications, as outlined in the Essential Criteria of the Personal Specification. If you do not meet this criteria you will not be shortlisted.

The role will be a varied, with no two days the same and we require someone who is able to use own their initiative, work under pressure and have excellent organisational, interpersonal and communication skills.
The post holder will report directly to the Administration Manager but work closely with the Clinical Team on a day to day basis.

Qualifications and Training
Essential criteria
- OCR/RSA Level 2 Typing/Word processing qualification (or equivalent) and/or relevant demonstrable experience
- Good general level of education to O-Level/ GCSE or equivalent in English Language
- NVQ in Business Administration (or equivalent)
Desirable criteria
- NVQ Level 2 in Customer Care (or equivalent)
Skills and Knowledge
Essential criteria
- Working knowledge of Microsoft applications, including Outlook, Word, Excel and Power Point
- Reception experience
- Good communication and interpersonal skills, both verbal and written
- Demonstrates good Customer Care Skills
- Good working knowledge of office procedures
- Good organisational and planning skills using own initiative
