Job overview

We are looking for an enthusiastic and motivated individual to join our busy team within the Pharmacy department.  Applications are invited from  suitably qualified and experienced candidates to join our administrative team to provide secretarial support.

This post will be full time Monday to Friday and worked on flexi time (which can be explained further to the successful candidate). 

This will be working within the Pharmacy Team based at North Tyneside General Hospital.  The successful candidates may be required to work elsewhere in the Trust.

Main duties of the job

To provide secretarial support to the Chief Pharmacist/Clinical Director for Medicines Management, deputies and Pharmacy Senior Management Team (PSMT), in addition to maintain effective administrative systems to enable the efficient running of the department.

Detailed job description and main responsibilities

Arrange an array of meetings/activities which are important and complex, comparing a range of options which are often conflicting
Provide and maintain a high quality administrative and secretarial service, ensuring the office is organised, efficient and effective and accepting accountability for such in order to assist the Chief Pharmacist/Clinical Director for Medicines management and their team to deliver patient care.
Be a point of contact for patients/other users of Pharmacy Services, who may wish to speak to the Chief Pharmacist/Clinical Director for Medicines Management or members of the Pharmacy Senior Management Team.
Assist the Chief Pharmacist/Clinical Director for Medicines Management and the Pharmacy Senior Management Team in monitoring sickness absence, annual leave, special leave, lieu time and study leave of pharmacy staff.

Person specification

Qualifications / Professional Registration

Essential criteria
  • Level 2 (I.e. GCSE Grade C or above) in English Language and Mathematics (or equivalent numeracy and literacy skills)
  • Level 3 qualification in Business Administration plus further specialist knowledge (or working towards) or equivalent level of experience.
  • IT skills to at least ICDL standard, or equivalent experience, including standard Microsoft Office software

Experience and knowledge

Essential criteria
  • Good knowledge of full range of administrative and organisational policies/procedures
  • Experience of working in environment dealing with confidential issues
Desirable criteria
  • Previous secretarial/administration experience
  • Experience of working in the NHS
