Job overview
An exciting opportunity has arisen for an individual to join the Ferndene in-patients Administrative Team within the Specialist Care Group CBU.
Ferndene Hospital is part of the CNTW Trust’s provision of Children and Young Peoples Inpatient Services. These are commonly referred to as Tier 4 services. They include a broad range of assessment, treatment and ongoing support services to children and young people with a range of mental health problem, learning disabilities, autism and eating disorders.
This role will be part of the wider admin team. As a Band 3 Administration Officer the post holder will provide secretarial support to the Ward Managers and the wider team. They will also work closely with the medical secretaries to ensure all aspects of this role are met.
Main duties of the job
The post holder will be able to meet/demonstrate the following
Demonstrate extensive experience of providing secretarial support to the ward and wider team
Have a good understanding of the complex needs of the in-patients
Demonstrate excellent organisational skills and experience of establishing, managing and maintaining admin systems
Organise own workload on a daily basis, able to work under pressure meet deadlines, use your own initiative and be self-motivated
Attention to detail and a high standard of written communication
Make arrangements for visits, meetings etc, to ensure the smooth running of the service
Confident and competent in administration tasks including experience of minute taking in real time, typing skills and reaching deadlines
Ability to use the stock ordering system and maintaining accurate record keeping
Experience working with software packages including Microsoft Word, Excel, Outlook, Microsoft Teams and Patient Information Systems (e.g. RiO)
Demonstrate the Trust’s Vision and Values in every aspect of their practice and actively build working relationships with others
Demonstrate excellent interpersonal and communication skills, dealing with patients, carers and professionals, in some cases where there are barriers to communication or understanding
Willingness to undertake relevant mandatory training
Take personal responsibility for making things happen

Education and Qualification
Essential criteria
- Word-processing skills at Level 3 (OCR/RSA Level 3 or equivalent qualification and/or demonstrable relevant experience) eg; NVQ Level 3 Level 3 in Business Administration (or equivalent)
- General level of education to O-Level/ GCSE or equivalent
- Experience in Administration/Secretarial post
Knowledge and Experience
Essential criteria
- Knowledge of NHS Policies and Procedures
- Working knowledge of Microsoft applications, including e-mail and MS Teams communication
- Ability to maintain and update Patient Information Systems e.g. RiO
- Good working knowledge of office procedures
- Previous secretarial/clerical experience
- Ability to uphold confidentiality at all times
- Able to prioritise and plan own workload
Skills and Competencies

- Excellent communication and interpersonal skills, both verbal and written with internal and external professionals
