Job overview

An exciting opportunity has arisen for an experienced administration officer to join our 111 IRS Hub Team based at Barton Centre, Hopewood Park, Ryhope, Sunderland.

The 111 IRS team take calls from people of all ages including children and people with neurodevelopmental needs. Members of the public can call for themselves, or for someone else.

This is a bustling 111 Hub Service which operates 24 hours a day over 7 days a week providing access to urgent mental health support service.  This at times can be overwhelmingly busy typical of call centre setting and the post holder will provide a comprehensive, high quality secretarial/administrative service at all times.  You will undertake a variety of tasks assigned by the clinic manager and administration team lead.

Main duties of the job

Applicants must be able to demonstrate proven recent (12 months) experience of the following:

·         experience in a customer / patient focussed environment

·         verbal and written communication skills

·         worked in a secretarial/ administrative position

·         advanced keyboard skills

·         working knowledge of Microsoft packages

·         minute taking / typing live during discussions

·         data inputting

  • Daily duties will include liaising with Community Treatment Teams and uploading referrals.
  • Ensuring SMS texts are sent to service users
  • Sending out telephone triages to GP Surgeries 
  • Typing up minutes from supervisions

Person specification

Education and Qualification

Essential criteria
  • Word-processing skills at Level 3 (OCR/RSA Level 3 or equivalent qualification and/or demonstrable relevant experience) eg; NVQ Level 3 Level 3 in Business Administration (or equivalent)
  • Audio Typing qualification or demonstrable equivalent experience
  • General level of education to O-Level/ GCSE or equivalent

Knowledge and Experience

Essential criteria
  • Knowledge of NHS Policies and Procedures
  • Working knowledge of Microsoft applications, including e-mail communication
  • Ability to maintain and update Patient Information Systems e.g. RiO
  • Good working knowledge of office procedures
  • Previous secretarial/clerical experience
  • Ability to uphold confidentiality at all times
  • Able to prioritise and plan own workload
