Job overview

An exciting opportunity has arisen for an Outpatient Reception Supervisor to work in the Main Receptions department at the Newcastle upon Tyne Hospitals Trust.

We are looking for a flexible and enthusiastic candidate who is an excellent team player, well-motivated and capable of working in a busy and challenging environment to join our Main Receptions Department. The successful candidate will provide efficient supervision alongside a  friendly reception service to patients and visitors, either in person or by telephone ensuring a high quality of customer care is delivered at all times.  

Departments are located in multiple sites across the Trust and staff are required to work across Freeman and The Royal Victoria Infirmary.

20 hours/week – Flexibility is required to cover mid-shifts & night-shifts across Monday-Friday

1 shift pattern of 7pm -11pm (no break) to be covered 3 times a week 

1 shift pattern of 4pm-8pm (no break) to be covered 2 times a week

Main duties of the job

  • Providing an efficient and sensitive reception service to all users applying a high level of customer care skills
  • Ensuring that hospital visitors and general public are directed correctly thus helping to provide support for patient care
  • Taking responsibility for the timely completion of all administrative tasks
  • Supervision of team providing effective training and ensuring streamline of communication is proficient with management
  • Making and receiving telephone calls to respond to public enquiries as well as internal communication with other areas

To support the effective and efficient delivery of a 24-hour Main Reception service alongside an Outpatient Service across the organisation, ensuring a high standard of customer care and service provision is delivered to all services users.

Qualifications & Education

Essential criteria
  • NVQ 3 or equivalent qualification in relevant subject / equivalent experience

Knowledge & Experience

Essential criteria
  • Knowledge of Policies and Procedures appertaining to OPD
  • Knowledge of NHS Guidelines
  • Experience of the functionality of the Patient Administration System (PAS) and eReferral system
  • Understanding of confidentiality issues
  • Understanding of the data protection act 1998 and GDPR
Desirable criteria
  • Knowledge of the Department of Health and Social Care initiatives
  • Knowledge of Trust policies and procedures
