Job overview

The Fleet and Equipment Manager is responsible for the effective management, compliance, availability, and performance of

QE Facilities’ courier fleet and associated operational equipment. This includes courier vehicles, temperature-controlled

Eberspächer fridge units, and Zebra handheld scanning devices used across logistics operations.

The postholder will ensure all fleet and equipment assets are safe, compliant, cost-effective, and fit for purpose, supporting

high-quality courier and logistics services to NHS partners. The role will work closely with Logistics, Transport, IT, SHEQ, and

external suppliers to maintain service continuity and drive continuous improvement.

Main duties of the job

Overall responsibility for the management and performance of the courier vehicle fleet, ensuring vehicles are safe, compliant, and operationally available.

· Manage planned and reactive maintenance schedules, inspections, servicing, MOTs, and repairs for all fleet vehicles.

· Oversee the operation, maintenance, calibration, and repair of Eberspächer fridge units to ensure temperature compliance for pharmaceutical and clinical deliveries.

· Manage the lifecycle of Zebra handheld scanners, including procurement, configuration, deployment, fault resolution, replacement, and asset tracking.

· Act as the primary point of contact for fleet, refrigeration, and handheld equipment suppliers and service providers.

· Monitor fleet and equipment KPIs, reporting on availability, downtime, defects, compliance, and costs.

· Ensure full compliance with DVSA requirements, driving at work regulations, health & safety legislation, and internal policies.

· Support accident, incident, and defect investigations relating to vehicles or equipment, ensuring corrective actions are implemented.

· Manage fleet and equipment budgets, identifying opportunities for cost control and efficiency savings.

· Maintain accurate asset registers for vehicles, fridge units, and handheld devices.

· Support onboarding of new contracts by ensuring fleet and equipment requirements are identified and delivered on time.

· Drive continuous improvement in fleet utilisation, reliability, and equipment performance.

Detailed job description and main responsibilities

Responsible for a geographically dispersed fleet and equipment base supporting 24/7 logistics operations.

· Decisions directly impact service continuity, patient safety, compliance, and cost control.

· Manages high value assets with significant financial and operational risk if unavailable or non-compliant.

· Works in office, depot, and workshop environments, with frequent site visits.

Experience

Essential criteria
  • Proven experience managing vehicle fleets in a logistics or transport environment
  • Experience managing maintenance contracts and external suppliers
Desirable criteria
  • Experience working with temperature-controlled equipment or pharmaceutical logistics
  • Experience managing operational equipment such as scanners or telematics devices
  • Experience of KPI reporting and budget management

Knowledge and skills

Essential criteria
  • Strong knowledge of fleet management and vehicle compliance
  • IT literate with experience managing handheld or mobile devices
  • Working knowledge of health & safety and driving at work regulations
  • Strong organisational and problem-solving skills
  • Ability to communicate effectively with operational and technical stakeholders
Desirable criteria
  • Understanding of temperature-controlled transport and refrigeration systems

Qualifications

Essential criteria
  • Full UK Driving Licence
Desirable criteria
  • CPC Transport Manager or equivalent fleet qualification
  • IOSH or equivalent health & safety qualification
  • Professional qualification in logistics, transport, or fleet management
