Job overview

An exciting opportunity has arrisen within Cancer Services referrals team for 12 month fixed term/ (secondment could be considered) opportunity to team leader the senior admin officers. This is a fantastic position who support the effective delivery of 0-7 day bookings and ensuring delivery of day to day bookings for patients who are referred into the Trust for suspected cancer. We are looking for an individual who upholds the trust values and who has an intrest to make patients feel at ease for the start of their cancer pathway , this team is vital to the cancer pathway to give assurance and support to patients who are waiting anxiously for their 1st appointment, the sense of achievement within this role and supporting patients on their cancer journey.

Main duties of the job

  • To act as a senior point of contact working in collaboration with wider trust groups to review daily capacity demand for Urgent Suspected Cancer, identifying and highlighting gaps within the service to ensure capacity is met.  To ensure all enquiries are effectively managed and successfully resolved within a prompt timescale, ensuring all relevant personnel are informed as necessary and an appropriate record is maintained.
  • To support with the daily delivery of bookings for Urgent Suspected cancer appointments. 
  • To ensure, wherever possible, that all documentation is up-to-date, in an orderly fashion and available whenever decisions are being made, reporting exceptional circumstances where necessary. This will include Chairing team meetings and attending meetings as required, daily huddles, Morning and afternoon booking updates. 
  • Provide support to administration staff. This will require demonstrating and explaining practices and procedures, delivering appropriate training and development with new and existing staff ensuring high standards of practice are maintained at all times. Providing cross cover on a reciprocal basis in the absence of colleagues and providing day to day supervision where required. Responsible for weekly cover plan and planning for sickness and leave, support team where needed.

Detailed job description and main responsibilities

  • Manage a team of staff responsible for recruitment, induction, annual leave, recruitment, sickness, performance, annual performance, annual PDR. Work in conjunction with your team, offering leadership and also assist in aspects of their role as required, ensuring that all tracking and data is kept up to date.
  • To continually contribute to patient and business improvement Agendas. This will require: undertaking any project work as directed, including obtaining information from the collation and reporting of data in order to produce reports and spreadsheets, utilising relevant Trust IT systems, as determined by the role, ensuring all relevant data is collected and input accurately in line with Trust guidelines. These systems may include Revenue Cycle, EPR, Powerchart, E-Referral, Insite, blue prism etc. Up to date Quick reference guides and weekly working plans 
  • To suggest, implement and maintain an efficient office management system / procedure to enable the Department to optimise its standards of service. This will require effective time management, managing cover and leave arrangements, ensuring appropriate and timely communication with all relevant personnel and ensuring action points are raised and completed. Effective management of the office by establishing and maintaining efficient manual and electronic correspondence and documentation management systems; ensuring office equipment and stationery is maintained and processing orders as required.
  • Exercise independent judgement and initiative when problems arise, taking the necessary actions to resolve the problems including telephone complaints and addressing errors with administration staff or referring to the appropriate person.
