Safeguarding Administration Officer

Job overview

  • To provide comprehensive and confidential administrative and clerical activities to meet the needs of the Safegaurding service in accordance with Departmental, Trust and National standards, policies and procedures.
  • To effectively communicate related information and advice to enable the multi-disciplinary team to achieve operational excellence.

Main duties of the job

  1. To act as a point of contact for dealing with enquiries and take action as necessary liaising and effectively communicating at al levels using written, oral and electronic methods. 
  2. To ensure, wherever possible, that all documentation is up-to-date. In an orderly fashion and available whenever decisions or reports are required, reporting exceptional circumstances where necessary. 
  3. To assist with the implementation and maintain an efficient office management system/procedures to enable the Department to optimise their standards of service. 
  4. Support team members. This will require undertaking appropriate staff training and development as required, providing cross-cover on a reciprocal basis in the absence of colleagues.
  5. Support the Safeguarding Team in facilitation of incident investigations by organising meetings, ensuring that the relevant documentation is available, taking notes/minutes during the meetings and following up any resulting action plans.

Detailed job description and main responsibilities

  • Support safeguarding training throughout the trust by means of administration and facilitation of classes
  • Support the provision of assurances that actions from internal and external audits are progressing to inform Trust committees. 
  • To work effectively with colleagues, internally and externally to the organisation, to ensure the dissemination of information which is of a highly sensitive and restrictive nature, pertaining to vulnerable adults, children, young people and their families.
  • Manage stationary levels for the team through stock monitoring and ordering as required.
  • Manage and prioritise work in line with agreed schedules and in accordance with department and professional standards.
