Optometry Liaison Specialist

Job overview

To provide a specialised, comprehensive and confidential patient centered clinical administration and secretarial service to the Optometry Department in accordance with Departmental, Trust and National standards, policies and procedures. To act as a source of advice and guidance regarding the specialism. 

To be the central point of contact for the Optometry Team to support the multiple financial pathways in the Optometry and Ophthalmic Imaging Department.

Main duties of the job

The role involves managing clinical and private patient income, and graduate optometrist training. Responsibilities include overseeing clinical contact lens orders, HES voucher processes, and sensory support appointments coordination. The position handles telephone queries, typing clinical letters, processing HR documents, expenses, and invoicing for DVLA and Farnsworth tests. The role also involves maintaining communication networks, managing mail, arranging meetings, and regularly reviewing administrative systems for efficiency.

Detailed job description and main responsibilities

  1. Ordering of clinical contact lenses through external companies. Processing of relevant paperwork attribute to the order and facilitation of internal checking processes. Ensures delivery of lenses to patients and any associated appointments. Maintains databases for ordering and invoicing. Liaison with Finance/Procurement to ensure payment of invoices in a timely manner
  2. HES Vouchers – central point for spectacle voucher reclamation, auditing and invoicing of payments to community optometrist. This is in liaison with the Finance department
  3. Responsible for the co-ordination of Sensory Support appointments in conjunction with the Sensory Support Team at Cannon Park and talking to parents offering information and re-assurance.
  4. Deal with extensive, often complex telephone queries with sensitivity  in a highly interruptive environment with regard to all services provided in Optometry without recourse to the Optometrist  unless absolutely necessary. Prioritise urgency.
  5. Shared responsibility for typing of clinical letters, produced by the Optometrists.
  6. Responsible for processing of all HR documents for staff members and also travel expenses, and overtime initiative forms, Trust Fund forms.
  7. Deals with preparation and sending of invoices with regard to DVLA eye tests and Farnsworth tests for prospective fire-fighters. Ensures that payment is received.
  8. Develops and maintains effective communication networks at all levels across the organisation, – to facilitate the effective function of the Department. Re-directs and co-ordinates tasks delegated to the members of the department on behalf of the Head Optometrist/Deputy.
