Job overview
Working within the rota team, the post holder will provide comprehensive administrative support for the production and running of medical rotas within the Trust’s Surgical Services Team.

Main duties of the job
- To support the production and maintenance of junior doctor on call rotas for the surgical service group throughout the Trust ensuring that they are compliant with New 2016 Junior Doctor Contract and that they are equitable for all staff
- To support the design, production and monitoring of new medical rota templates, when required, ensuring compliance with New 2016 Junior Doctor Contract EWTD
- Produce and maintain live working rotas the Surgical Services group on Trust intranet, updating with live swaps and names of booked doctors covering vacancies.
- Work with resourcing to produce work schedules for new starter trainee doctors and produce bespoke LTFT work schedules.
- Distribute rota’s to all new starters in the Surgical Services group, for training doctors ensuring that the New 2016 Junior Doctor Contract standards are met.

Detailed job description and main responsibilities
- To support the production and maintenance of Consultant on call rotas for the Surgical Services group.
- To support the amendment of on call rotas in a timely fashion to reflect leave, swaps, sickness absence or any other reasons requiring amendment of on call rotas
- To support the identification of any gaps in on call rotas reporting of such gaps to Temporary Staffing Services in a timely manner to maximise the chances of obtaining appropriate cover
- To support the management of any enquiries relating to on call rotas ensuring that they are dealt with and responded to in a timely manner
- To ensure that all leave and swaps are accurately recorded in a timely fashion and to ensure that all rotas are updated accordingly to ensure rotas remain accurate at all times
- To ensure that all sickness absence of doctors in training is recorded promptly and accurately to ensure that rotas remain accurate at all times
- To lead the monitoring of sickness absence of doctors in training and to ensure that all breaches of sickness absence targets are notified promptly to the Clinical Directors and the Service Managers for Surgery Group
- To lead the management of leave of doctors who fall under the line management of the Surgery Group to ensure that all leave is accurately and promptly recorded
- To support with the arranging and preparation for Junior Doctor interviews
- To undertake any project work relating to rotas or rota management, as required
- To provide support with maintaining and updating the TEMPRE system. Ensuring all claims are submitted on time.
- Negotiate locum cover with locum bookers for sickness absence within the agreed Divisional protocol. Review CV's of potential locums before submitting for Consultant approval to ensure locum meets minimum requirements. Keep an up to date internal locum register
- In liaison with the Training and Development Manager co-ordinate Directorate induction days for junior medical staff at the start of each rotation
- Check all incoming claims and invoices for accuracy and monitor locum expenditure. Record and submit all invoices to payroll with correct budget code according to speciality
- To undertake any other Administration duties across the Surgical Services Group of a similar nature consistent with the responsibilities of the post to provide a quality service
