Job overview

To provide a high quality and efficient Phlebotomy service to the trust. To provide leadership, supervision, ensure delivery of key performance Indicators (KPI’s) and operational management of the Phlebotomy team.

To daily manage the in-patient, out-patient, GP and domiciliary Phlebotomy service as well as the stabilisation service on site. Ensuring quality of the service, working to enhance patient experience of the service and aiming to meet all prescribed turnaround times for the service.

To ensure the Phlebotomists are appropriately trained, subject to regular revalidation and where necessary performance management.

Monitor the performance of the service and ensure it meets the needs of the users and patients. To develop the service as required in conjunction with senior Pathology Managers.

Main duties of the job

Coventry and Warwickshire Pathology Services provides extensive phlebotomy services at 5  main sites; University Hospitals Coventry and Warwickshire NHS Trust in Coventry and in Rugby, City of Coventry Health Centre in Coventry, George Eliot Hospital in Nuneaton and South Warwick Foundation Trust in Warwick , with Out-patient and In-Patient services. A number of Community Clinics, GP Clinics and Domiciliary services are also supported by our phlebotomy service, covering, Coventry, Warwickshire, West Leicestershire and East Birmingham.

We are currently looking for a Phlebotomy Supervisor to be based at our George Eliot site. They will work closely with the other Phlebotomy Supervisors in the Network, and also the new Pre-Analytics Lead Supervisors. There will be a requirement to rotate and work as a Supervisor on other main sites within the Network.

We are looking for a keen, flexible, forward thinking, individual, who has extensive phlebotomy experience, and who has experience in a more senior/supervisory role within a phlebotomy environment. You will lead a team of phlebotomists, with support from your Team Leader to ensure the delivery of high quality phlebotomy services to our patient population.

We are in the process of increasing access to our services for patients, and are introducing In-patient, Out-Patient and domiciliary services across 7 days. Applicants will be expected to lead, support and develop this 7 day service.

Detailed job description and main responsibilities

  • Responsible for the day to day organisation of the Phlebotomy service.
  • Help senior Pathology managers predict and identify increases in service demand.
  • To be responsible for the quality management of their service; reporting, investigating and actioning all non-conformities, clinical adverse events and service user complaints. To inform line managers of these issues as they arise.
  • Communicate directly with patients, colleagues and other external contacts, and act as the second point of contact for challenging phone calls and face-to-face enquiries where more demanding enquiries are made, including those from children and parents. Calls/face-to-face enquiries to be dealt with in a professional manner, and may require tact and persuasive skills
  • To work as a team with the other Network phlebotomy supervisors, and participate in phlebotomy supervisor meetings to share best practice, and deliver a standardised network wide phlebotomy service.
  • To ensure that blood samples are taken into containers appropriate to the tests required. Organises the courier services as required and ensures the efficient onward dispatch of samples collected on-site, or received from other sites.
  • Responsible for ensuring that certain selected samples, where there is a requirement for primary processing at the point of collection, are selected to ensure accuracy of patient results.
  • Responsible for ensuring that stocks of consumables are adequate for the provision of the Phlebotomy service, and to provide local GP services with supplies as agreed.
  • Responsible for ensuring all staff work within Standard Operating Procedures (SOP) and policies, and participates in the review and update of these SOPs where necessary.
  • Update Quality Management systems and Clinical incident reporting systems and carry out audits as required.
  • Responsible for all maintenance and that record keeping is up to date, ensuring all equipment is kept in a clean and tidy condition, precautions are taken to ensure safe operation, including reporting of faults and servicing.
  • Responsible for safe upkeep of lease cars and organisation of MOT/ services as required.
