Job overview
The Materials Management Assistant is responsible for ensuring a high-quality Materials Management Service is delivered whilst ensuring the service promotes stock availability, reduces waste through poor stock rotation and frees time for other disciplines to care.
Working within guidelines, appropriate timescales, Trust and Procurement Department protocols and procedures they will work with appointed ward/departmental lead and the Materials Management Supervisor the post holder is to ensure a timely and effect ordering and top up stock and non-stock system.
The post holder will be required to undertake duties, on a daily basis, such as delivery of all deliveries to all Trust sites, loading and unloading of goods from cages to vehicles and to their final destination on Trust property and the moving and lifting of heavy goods. These are examples of the nature of physical effort involved with this post.
Main duties of the job
To implement and maintain a materials management service across Trust departments and wards, undertaking regular and timely ordering on behalf of the customer, in line with agreed procedures.
To be responsible for ensuring that customer’s requirements are met in the most cost-effective way possible always ensuring continuity of supplies.
Carryout regular reviews with appropriate ward/department leads, using system information as appropriate to illustrate spending patterns, identify and agree all products and stock levels with the customer, monitor usage and activity patterns and place timely and accurate orders to maintain agreed stock and material levels.
Regular customer contact to ensure stock levels and the range of products held are regularly reviewed, reflect activity and are updated in agreement with the customer.
Assist in value for money studies to contribute to savings set targets and regularly reports spend/saving activity.
Receive, check and put away all deliveries. Ensuring that items are rotated, stored in the correct location and the store areas are left tidy.
Manage and monitor discrepancies ensuring that returns and credits are processed appropriately.
Assist with provision of cover to other areas of Materials Management when necessary.
Assist and provide cross cover support in main Stores, picking, packing and processing orders received. Paying attention to detail, stock management and health and safety.
Working for our organisation
Delivery and collection of medical records/internal and external post from around sites within the Trust throughout the day keeping set times.
Follow written instructions and complete jobs to assist Staff in the Trust e.g. Trust office moves within the same building or from site to site
Removing and disposing of old electrical equipment
Carry out daily/weekly vehicle checks Oil, Water, and Tyre Pressure/Wash and clean inside/out on a weekly basis.
To assist within the Stores as and when required, involving manual handling of goods inwards/outwards.
Follow Trust Transport Policy and maintain compliance in all areas within the Policy.
To attend Workshops and on-going PDP.

Undertake appropriate in-service and other job-related training to ensure personal skills are developed and kept up to date.
Be prepared to obtain relevant qualifications as and when needed.
Identify training opportunities for own role and for Monitoring Officers.

- Experience or knowledge of manual handling
- Able to travel between Trust sites
- Ability to drive, holding a full UK driving licence

- An understanding of operational techniques in delivering Material Management services.
- Computer literate with the ability to use Office applications, particularly Word, Excel and Outlook.
