Mill View Hospital is a compassionate and forward‑thinking mental health facility providing high‑quality acute inpatient care for adults across Brighton and Hove. Our wards are supported by a multidisciplinary team committed to delivering safe, effective and person‑centred care. We foster a culture of kindness, teamwork and continuous improvement.

We are looking to recruit a motivated and organised Inpatient Ward Administrator to join our busy ward team. You will play a vital role in ensuring the smooth and efficient running of the ward, acting as the first point of contact for patients, carers, staff and external partners.

Main duties of the job

As an Inpatient Ward Administrator, you will provide comprehensive administrative support to the ward team. You will help maintain accurate patient records, manage communication flows and support day‑to‑day operations that enable clinical staff to focus on delivering excellent care.

Key responsibilities:

  • Manage the ward reception area and act as the first point of contact for visitors, callers and colleagues.
  • Upload and maintain patient documentation on clinical systems (e.g., Carenotes).
  • Undertake general office duties including email management, scanning, filing and maintaining records.
  • Coordinate and schedule meetings, appointments and ward activities.
  • Take accurate minutes for meetings as required.
  • Order, receive and maintain stock items and supplies.
  • Support the wider administrative team and ward staff with ad‑hoc tasks as needed.
  • Ensure confidentiality, professionalism and adherence to Trust policies at all times.

Qualifications

Essential criteria
  • NVQ 3 or equivalent qualifications
  • Good standard of secondary education; GCSE at Grade C or above or equivalent

Knowledge/Experience

  • Proven experience of a range of administrative procedures
  • Experience of producing documents to a high standard of presentation with good accuracy
  • Experience of developing, managing and maintaining office information systems
  • Experience of working as part of a team
