An exciting opportunity has arisen for a Band 5 Admin Manager working with Plastic Surgery services. 

Location: BRI

The job holder will be responsible for the day to day management and functioning of the secretarial, administrative and clerical service for the clinical specialty area/clinical specialty areas.

The jobholder is responsible for  ensuring that  patient pathway management processes and co-ordination is managed in accordance with the Trust’s Access Policy and other National/Local targets i.e. Cancer, RTT

Main duties of the job

The job holder will be responsible for :

  • The delivery of all key performance measures within their area of responsibility,
  • Will be expected to lead by example in developing a professional set of behaviours to deliver an enhanced service
  • Lead their teams in the day to day delivery of their services against agreed service standards
  • Develop and be responsible for the delivery of a comprehensive set of Standard Operating Procedures
  • Ensure all staff within their teams are managed appropriately in line with Trust policies ie Management of Attendance and the Trust Personal Responsibility Framework
  • Ensure their service is delivered within budget through efficiency and lean processes
  • Work in close liaison with the specialty clinical lead and wider clinical colleagues to maintain efficient service delivery and prioritise patient pathways in accordance with RTT and cancer targets

Person specification

Experience

Essential criteria
  • Experience of managing a team to deliver an exceptional customer service
  • Minimum 2 years’ recent management experience in the NHS
  • Minimum 3 years’ administrative experience in the NHS
  • Minimum 2 years’ experience managing patient pathways in accordance with National RTT guidelines
  • Experience of planning and organising work allocation/delegation to team members to deliver a high quality performance within policy and service timescales.
  • Demonstrate previous involvement in staff recruitment and selection; training and development; managing performance and attendance management.
  • Experience of analysing performance data and for identifying ways in which the service can be improved at a service, team and individual level.
  • Experience of working in the NHS environment
Desirable criteria
  • Involvement in the delivery and implementation of service improvements using a range of service improvement and project management techniques.
  • Medical Secretarial Experience
  • Experience of supporting senior management in business planning, capacity planning, budget setting and management of budget expenditure including delivery of annual cost improvement savings.

Qualifications

Essential criteria
  • Educated to NVQ level 4/BTEC* Diploma in Management or other supervisory /management qualification OR equivalent experience
  • Evidence of on-going personal development

Essential criteria
  • Excellent written and verbal communication skills and able to present data in a way that is easy to understand
  • Ability to build working relationships with colleagues within the team and across Divisions which support the delivery of the service.
  • Undertake the performance management and appraisal process and ability to work with team members to set achievable personal and team objectives.
  • Ability to interpret and analyse activity and performance related data and to be able to consider a range of options for improving team performance.
  • Ability to use a range of styles and to adapt own behaviours to get the best from the team.
  • Keyboard and ICT skills including Microsoft Office packages
