Job overview

The post holder will work as an administrator with the pharmacy homecare team processing prescriptions and invoices and dealing with queries.

This is a part-time position over 27 hours per week - hours to be agreed but will be within the office opening hours Monday- Friday .

The post holder will

  • Raise orders via the patient specific ordering system (EMIS) against homecare prescriptions and ensure they reach the homecare company in time for the next delivery date.
  • Process homecare invoices using the patient specific ordering system (EMIS)
  • Monitor and maintain all pharmacy databases that relate to homecare services
  • provide cover and support for other homecare staff as required

We provide community health services, including sexual health services in Calderdale from Calderdale Royal and local health centres. These include Todmorden Health Centre and Broad Street Plaza.

Detailed job description and main responsibilities

Main Tasks

 Work as part of the team processing prescriptions for homecare supplies to patients in line with departmental procedures.

  • Raise orders and process invoices, in accordance with departmental procedures to ensure accurate charging to appropriate cost centres.
  • To be responsible for the posting/emailing of screened homecare orders to appropriate external homecare companies to ensure patients receive their medication in a timely manner.
  • Investigate and resolve invoice/prescription queries by liaising with external homecare companies, trust clinicians and relevant trust pharmacy homecare staff.
  • To appropriately manage queries from patients, homecare providers and hospital clinicians by phone or by email, (e.g. drug deliveries, complaints regarding homecare provider services etc).
  • To assist the Pharmacy Homecare Manager in the smooth running of the pharmacy homecare service.
  • To train and supervise the work of other appropriate staff on the day to day activities undertaken by the pharmacy homecare team.
  • To carry out all duties in a professional manner with due regard to the sensitivity and confidentiality of the personal and financial information.
  • Participate in resolving homecare supplier payment queries/disputes, including communicating with appropriate staff within the trust finance team, and homecare suppliers.
  • Review monthly financial statements from homecare providers and check for discrepancies and outstanding queries.
  • Maintaining the homecare database. This will involve the accurate input and manipulation of patient information in excel spreadsheets.
  • To act on requests regarding prescription renewals from homecare providers in a timely manner liaising with clinical teams/external homecare companies as needed.
  • To ensure that all requests for non-approved drugs are authorised by the appropriate senior pharmacist before processing prescriptions. This may involve the communication of complex, sensitive or contentious information to senior pharmacy staff or clinicians.
  • To attend pharmacy homecare team meetings and participate in discussions around homecare issues. This may include proposing changes to working practices within the pharmacy homecare team in order to improve efficiency and compliance to local homecare policies and adherence to RPS national standards.
  • To ensure that all urgent prescription requests are dealt with appropriately and promptly, with referral to the pharmacy homecare manager where appropriate.
  • To manage an unpredictable workload effectively including prioritising urgent work appropriately while ensuring that monthly, quarterly and yearly report timetables are met.
  • To work under own initiative within policies and procedures set by pharmacy and by the line manager.
  • To ensure all scanning and filling of Homecare paperwork is kept up to date with appropriate attention to detail.
  • Provide key performance indicators relating to the homecare service
  • Establish and maintain positive interpersonal relationships with other members of the pharmacy homecare team. Positive relationships are characterised by open communication, trust and respect
  • Be involved in covering the duties of other homecare staff during periods of annual leave and sickness.

To undertake any other tasks determined by the Pharmacy Homecare Manager which will appropriately aid in the delivery of the pharmacy homecare service

Person specification

QUALIFICATIONS / TRAINING

Essential criteria
  • English and Math GCSE grade 9-2 (A*-E) or equivalent
  • IT skills - Word processing skills (Microsoft Word) up to RSA 2; spreadsheets & databases Microsoft word) or equivalent
Desirable criteria
  • Understanding of basic professional purchasing principles and procurement technology

KNOWLEDGE, EXPERIENCE & EXPERTISE

Essential criteria
  • Experience of working in an office environment
  • Proven computer literacy and keyboard skills (including use of all common Microsoft Office programs)
Desirable criteria
  • Experience of working in a purchasing/invoice environment.
  • Experience of working in a pharmaceutical environment
  • Knowledge of pharmacy and homecare
  • Understanding of systems used for pharmaceutical ordering, receipt, and stock control
