Job overview

Medical Secretary with experience of using EPR/PPM/Bluespier/KP+ scheduling patients for theatre, booking outpatient appointments, knowledge of IPT's, being able to prioritise workload and to be a team player.

The post is based within the orthopaedic department.

The post holder will provide secretarial support to the department Consultants, designated medical staff and their teams.  

The postholder will be responsible for maintaining records both manually and on a computer system and demonstrate the ability to handle sensitive and confidential patient information, ie clinical letters, investigations and results.

The postholder acts as the first point of contact for all the forms of communication for the Consultants and medical team from GP's, patients and relatives, other hospitals.

Main duties of the job

Typing of clinic letters.  Booking appointments from the ASI list.

Acting as link between patients, GP's, wards and theatres.

Scheduling patients on Bluespier in house system.

Validating patient pathways.

Covering for other Secretaries whilst on leave/sickness.

Person specification

QUALIFICATIONS / TRAINING

Essential criteria
  • RSA III (or equivalent) typing/word processing and competent audio typing skills
  • Significant experience in busy office environment
  • Understanding of medical terminology
  • GCSE England and Maths grade 9-3 (A*-D)
Desirable criteria
  • Willing to undertake further development/training in all aspects of waiting list management
  • ECDL/NVQ2 in Business Admin/Customer Service or equivalent

KNOWLEDGE, EXPERIENCE & EXPERTISE

Essential criteria
  • Knowledge of National and Local guidelines on waiting list key standard targets
  • Excellent communication skills
  • Waiting list management/scheduling experience
  • Knowledge of software packages, excel, word, KP+
  • Knowledge of EPR and Bluespier
Desirable criteria
  • The ability to communicate at all levels with tact and diplomacy
