Job overview

This role involves working closely with the Frailty team as an administrator for all aspects of the Frailty service.

 

We are looking for someone who is adaptable, approachable and an excellent communicator and who is able to adjust to the changing demands and situations of the team.

 

Successful candidates would be required to carry out administrative duties such as filing, answering telephones and producing documents using Microsoft Office applications.

 

The candidate will be able to present and input data and as well as record information.

 

The role will involve some patient contact and visiting clinical areas. You will process excellent communication skills to maintain links within the trust and partner organisations

 

Main duties of the job

Ensure that confidentiality is maintained at all times, only releasing confidential information during the course of employment to those acting in an official capacity and where appropriate.

 

· To provide general office and administration support to the department in which you are placed.

 

· Greet visitors / customers in a polite and professional manner, dealing with their enquiries in an efficient and timely fashion.

 

· To carry out general office duties such as data-entry, photocopying, laminating, scanning and shredding.

 

· To support the teams to maintain accurate, timely and legible records.

 

· Attend and take part in team meetings and regular reviews with the line manager(s).

• To maintain the filing system, including e-filing, for the departments. Ensure the security and confidentiality of all records. Arrange general meetings, as and when required. Deal with incoming/outgoing mail/email for the departments, distributing and re-directing post accordingly and ensuring outgoing mail is dispatched to the central distribution point.

 

 • Be able to input/extract data, using relevant electronic software. To be able to manipulate data and generate basic evaluation reports.

 

·         Supporting clinical areas with general administration duties and support the clinical team with safe and timely discharges by booking transport, liaising with community teams and patient’s carers and relatives

QUALIFICATIONS / TRAINING

Essential criteria
  • GCSE English and Maths grade A*-C/9-4 or equivalent
  • NVQ Level 2 in Business Administration or Equivalent experience
  • Ability to take and transcribe minutes and other correspondence

KNOWLEDGE, EXPERIENCE & EXPERTISE

Essential criteria
  • Proven, relevant experience as an administrator working within a busy office environment, dealing with people at all levels and contributing in a positive, proactive, professional manner
  • Knowledge of Data Protection Act & Confidentiality
  • Experience of working in an NHS setting
  • Experience of working in an office environment
  • Undertake all mandatory training
  • Experience of Microsoft Office – Word, Excel Spreadsheets, Outlook
