Job overview
An exciting opportunity has arisen within the Emergency Preparedness, Resilience and Response (EPRR) and Special Operations department for a proactive and motivated Administrator to join our dynamic team.
We are seeking an individual who is enthusiastic, self-motivated, and thrives in a team environment. The successful candidate will play a key role in supporting the department’s operations, often working under pressure and managing multiple priorities. You will need to demonstrate excellent organisational skills, the ability to work independently, and a flexible approach to changing demands.

Main duties of the job
The successful candidate will be responsible for delivering confidential and comprehensive administrative support to the EPRR and Special Operations team. Key daily duties include:
- Providing a welcoming and professional point of contact for internal and external enquiries, ensuring a helpful and friendly service that reflects the department’s corporate image.
- Managing correspondence, including emails, phone calls, and documentation, with discretion and efficiency.
- Maintaining accurate records and filing systems, both electronic and paper-based, in line with organisational policies.
- Supporting meetings and events by preparing agendas, taking minutes, and circulating papers in good time.
- Handling multiple tasks and priorities, often under pressure, while ensuring deadlines are met and workloads are balanced.
- Working independently within defined policies and procedures, and responding to tasks assigned by the EPRR and Special Operations Coordinator or Senior Management Team.
- Contributing to a resilient and robust administrative function, helping the department operate smoothly and effectively.
This role requires someone who is organised, adaptable, and confident in managing competing demands in a busy environment.

Essential criteria
- Educated to NVQ Level 3 and or able to demonstrate the equivalent level of experience, Regarded as: o Proven experience of administrative work in a large or complex organisation
- Ability to prioritise tasks and manage conflicting demands on time and resources to deliver objectives
- Microsoft Office programs including Word, Outlook and Excel
- Able to organise and maintain effective spreadsheets and records
- Works effectively as part of a team
Desirable criteria
- Able to travel independently throughout YAS

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
