Sirona's Information Governance (IG) Service is looking for an Administrator to join the team who enjoys working in a varied role, with the opportunity to use their own initiative and work with a supportive team. 

The Service covers system and process management, records management, data protection and the controls needed to ensure that information sharing is secure and confidential. 

You will be responsible for managing a high volume of work and will have the ability to convey complex information in a personalised, easily understandable way. You will have a fundamental role within the Information Governance Team and be expected to work under the direction of the Information Governance Manager supporting the multiple elements of the information governance work programme. 

Excellent communications, organisational and time management skills with a proven track record of meeting deadlines and prioritising workload effectively are essential. The postholder will have the opportunity to develop knowledge of the General Data Protection Regulation (GDPR) /Data Protection Act 2018 and all other relevant legislation and an interest in developing further within an information governance role.       

Main duties of the job

This is a full-time post covering maternity leave for a year. The successful candidate will be expected to assist with the receipt, processing and disclosure of requests for patient records that fall within the scope of data protection legislation. 

Duties include logging requests, obtaining relevant proof of identification, sourcing, preparing, redacting and disclosure of records. The service is also responsible for the processing of court orders for copies of records and requests for records from the police and solicitors. You will also be responsible for the long term storage of patient records held in paper form that need to be archived. This includes maintaining an inventory of records held. You will be work closely with other administrative staff and other members of the wider healthcare team. In addition, you will act as a point of contact for members of the public and partner organisations. Whilst most communication is via email, an ability to speak confidently with the public on the phone and with colleagues is essential.

Essential criteria
  • Educated to A level standard/equivalent qualification/experience
  • Experience of Microsoft packages including Word, Excel, PowerPoint, Outlook
Desirable criteria
  • Experience of working with the Data Security & Protection Toolkit
  • Knowledge of project methodology
  • Evidence of continuing professional development in relevant area (s) - Records Management - Data Retention - Data Protection - Handling Information

Experience

Essential criteria
  • Processing of subject access requests (SARs)
  • Ability to plan and organise work programmes
  • Working with sensitive and confidential records
  • Having good communication skills (written, verbal, telephone manner)
Desirable criteria
  • Experience of working in a support/admin role
  • Experience of working in the National Health Service or similar health/social care organisation
