Job overview

An exciting opportunity has become available to join the Cath Lab and Cardiac Physiology administration team at Ysbyty Glan Clwyd as an Administrator/Receptionist.

As a part of this very busy team, the successful applicant is expected to be very flexible in approach to service needs, have a pleasant personality and a positive approach to their work. Excellent customer service and communication skills are required. An advanced level of reception skills along with the ability to deal with sensitive matters and highly confidential patient information. Applicants must also have a good standard of education, be adaptable and have good organisational skills. The post holder will be required to provide first class administration support to the department. 

Previous knowledge of working within a hospital environment would be desirable, but not essential, as would the ability to speak Welsh.

Main duties of the job

Working in a pressurised environment to provide a professional, accurate and prompt administrative function to facilitate the delivery of a professional efficient and effective booking service for a variety of diagnostic clinics.

Using own initiative in sometimes complex situations to ensure that patients are booked in line with local and national access targets.

 Deal with sensitive and confidential issues relating to Cardiology issues affecting patients, the public and staff according to guidelines.

As a member of the Administration Team, a flexible approach to the post is essential to enable prioritising the different workloads and duties. 

Excellent communication and interpersonal skills are required to carry out duties with tact, diplomacy and sensitivity, particularly where there are barriers to understanding.  Make sound decisions and judgements using initiative and level of authority as agreed with Line Manager.

Knowledge and understanding of the structure, policies, management and operational procedures within the department and the Health Board as required in order dealing with internal and external enquiries in a competent and confident manner.

The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.

  • English and Mathematics to GCSE or equivalent level.

  • Previous clerical / reception experience
  • Able to concentrate on administrative duties in an unpredictable environment, ability to manage work with constant interruptions from medical staff and telephones
  • Able to communicate information clearly and sensitively in person and over the telephone.
  • Ability to work to strict deadlines and prioritise tasks.
Desirable criteria
  • Knowledge of referral to treatment times and patient pathways
  • Previous waiting list management experience
  • Knowledge of NHS structures and processes
