The Primary Care Contracting Team (PCCT) has an excellent opportunity for a self-motivated, proactive and innovative individual. The role is : 

  • To lead on the implementation of LHB corporate policies and strategies for the PCCT, specifically for Corporate Governance, Administration, , Communications, Welsh Language, Equality, and ensure appropriate systems are in place to review and monitor compliance.
  • Manage communication with Primary Care Contractors which include, GP practices, Clusters, Community Pharmacy, Dentists and Optometrists. Update websites and intranet pages.
  • To ensure the provision of an effective and efficient administrative support service to the PCCT, this will include ensuring appropriate support for specified internal and external meetings which includes minutes and agendas.
  • Ensuring the business of the PCCT is conducted in accordance with the principles of Corporate Governance, the LHB’s Standing Orders and the Code of Openness.

Your communication skills will be exceptional as you build and maintain effective working relationships with individual contractors.  You will be required to work collaboratively with key colleagues within PCCT, Integrated Health Community Teams and across a wide range of stakeholders, using excellent communication, networking, and influencing skills.

 

Main duties of the job

PCC Support

Responsible for ensuring the provision of an efficient, accurate and prompt secretarial and administrative support to the PCC Management Team and staff.

Support the work of the PCC Management team by:-

Preparing reports/papers/presentations

Drafting responses to policy/consultation papers, as necessary on any matters relating to corporate policy / procedures impacting on PCC staff or functions / responsibilities, within sphere of responsibility.

Responsible for ensuring the efficient and timely production of agendas, minutes and supporting documentation for agreed meetings

Responsible for collation, distribution and arranging translation of documents to agreed timescales

Responsible for planning and organising meetings which includes notification, providing or arranging administrative support, arranging venues, refreshments, and, where requested and appropriate, translation arrangements.   

Attend meetings, in-house and external, and take notes to produce Minutes and Action Sheets to agreed timescales if and when required.

Participate in meetings, in-house and external, as representative of PCC in areas within sphere of responsibility.

Deal with highly confidential and sensitive documents/issues, maintaining the strictest confidentiality and discretion at all times.

Lead on the establishment and maintenance of robust and effective lines of communication within Primary Care

Qualifications

Essential criteria
  • NVQ level 4 or RSA 3 (typing) or Equivalent qualification and or administration/ secretarial experience
  • Management certificate or Office Management Experience
  • NVQ in Office Management or Administrative and organisational experience equivalent to Degree Level
Desirable criteria
  • Evidence of CPD / personal development

Experience

Essential criteria
  • Significant experience as a senior secretarial or administrative role
  • Formal Minute and note taking
  • Ability to develop and sustain personal relationships with a wide range of individuals and within groups

Skills

Essential criteria
  • Report writing skills
  • Ability to work to agreed deadlines
  • Ability to meet deadlines and work on own initiative

Knowledge

Essential criteria
  • Knowledge of full range of administrative and organisational policies and procedures, acquired through training and relevant experience to degree level or equivalent.
