Job overview

The post holder will provide a comprehensive and full secretarial/ clerical support to the PICSS Team.

The post holder will administrate for clinical staff education / study days/ training programmes and be expected to facilitate in audit by information gathering, inputting on databases and completion of condition specific training data attendance report for the division.

The post holder will collaborate closely with the manager to assist with the maintenance of the ESR system. This includes tasks such as extracting data from ESR, uploading information into the system, and generating reports.

The post holder will provide efficient administration support for Specialist Commissioning Services (SCS) as required. 

The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.

Main duties of the job

Works within own knowledge and expertise and BCUHB policies.

Plan and organise own workload.

Maintain documentation and ensure preparation is complete for training programmes for staff across BCUHB.

Assist PICSS staff to provide accurate information and maintain databases on training programmes.

Maintain service specific reports to enhance delivery.

To place orders on Oracle ordering system ensuring delivery meets the required time frame and ensure progress on delayed delivery.

Facilitate in the collection of data for audit: eg attendance on training Provide ESR support for team manager.

Communicate written and oral information to members of the multi-disciplinary team.

Receive and deal with sensitive information via telephone, fax and email.

Report on a regular basis to the team leads regarding management of workload, how it is managed and problem that are encountered.

Communicate with and keep records of all communication with Public Health care professionals.

Exercise judgement when dealing with staff on patient enquiries.

Act as a resource of information with own limits or her/his knowledge referring queries to other members of the team as appropriate.

Have patients notes and records filing accordingly and accessible for team use.

  • Up to GCSE standard for Maths and English or equivalent experience
  • Required to hold NVQ Level 3 or equivalent experience
  • IT skills to be competent using Microsoft Office (outlook, excel, word)
