Job overview

The  Administration Manager will be responsible for the provision of operation and day to day management of clerical and administrative services for Rehab, Perinatal, CHC & PICS Teams within the Mental Health & Learning Disability Division under the supervision of the Business Support Manager.

The Administration Manager will manage the WPAS/WCCIS Health Information Systems and provide and analyses statistical information for the Health Board and other agencies as required.

The post holder will manage changes to ensure the most effective and efficient management of the Mental Health & Learning Disabilities Department.

Working as part of the Management Team, a key aspect of this post will be to ensure sound administrative processes are in place to support the Divisional clinical teams in an efficient and effective way.

Working as part of the Division’s Management Team, support colleagues to provide cover during periods of absence.  This will include, answering of queries from admin and clerical staff and the completion of urgent tasks.  

Excellent written and communication skills together with the ability to prioritise work and meet deadlines are essential.  

The post-holder will be required to maintain strict confidentiality and will be expected to deal with patients, relatives and other visitors with courtesy and discretion at all times.

Main duties of the job

Working with the Business Support Managers the post holder assists with the operational management of all administrative, secretarial and clerical staff within the division.  

Devise and distribute weekly work rotas as required to ensure competing workload demands and short-notice periods of leave are adequately and equitably met, maximising limited resources in the most effective way.   

Ensure good lines of communication are maintained at all times with A&C staff across the Division and that all necessary information is disseminated and implemented by A&C staff.

Promote and encourage good working relationships at all times, developing rapport and trust with all staff groups.

Attend appropriate Management Team and Speciality Meetings for the Division ensuring all relevant administrative issues are highlighted and actioned 

The ability to speak Welsh is desirable for this role; Welsh and/or English speakers are equally welcome to apply.
