Job overview

We’re seeking an experienced, proactive and detail-oriented CAFM & Estates Information Systems lead to join our Estates and Facilities team.  This is a vital role supporting and developing our current service offering whilst working with the wider team to develop digital estates solutions for our new hospital development programme.

You’ll bring experience of property and estates related systems management from the NHS or another sector, along with strong technical skills in CAFM systems, PPM programmes and mobile device management. Proficiency with Excel and Microsoft Office along with the ability to interpret and communicate estate related data are essential. Experience of a healthcare estate , HTM guidance, MICAD , Planet systems and team supervision is highly desirable.

Main duties of the job

The postholder will lead the day-to-day management and development of the Trust’s CAFM and Estates Information systems, ensuring data accuracy, compliance, and system availability. Key responsibilities include:

  • Take a lead role in improving and developing the CAFM systems and Estates Information platforms utilised, to deliver a greater understanding of the building fabric, assets and compliance of the estate in general.
  • Supporting overall statutory compliance of the service by developing and maintaining accurate asset data, maintenance regimes and generating evidence-based reports.
  • Oversight of the various system users, permissions processes, problem solving, systems training, rolling out new systems as and when required, and ongoing development of CAFM system across the Estates & Facilities team.
  • Liaising with internal teams and external suppliers to ensure efficient system operation and value for money and be a key contact to integrate digital twin data for the new Hospital programme 
  • Contributing to budget oversight, risk reporting, and the development of digital estates procedures and policies.

This role is vital in ensuring that estates services are safe, efficient, and aligned with regulatory requirements as the Trust prepares for the development of a new hospital complex.

Education

Essential criteria
  • Educated to degree level or equivalent experience in computer technology systems
  • Specialist knowledge and experience in the use of CAFM/Asset Management reporting systems
Desirable criteria
  • AutoCAD Qualification and ability to review, manipulate/update drawings on an occasional basis
  • Have a working knowledge of CAFM Systems (Planet) and IPR systems (MICAD)

Experience

Essential criteria
  • Experience with performing various work activities which may be of a complex, demanding, routine or non-routine nature
  • Working knowledge of IPR property management software tools and the operation of Planned Maintenance programmes
  • Demonstrable experience of standard software programmes such as Microsoft Office Suite of products to include excel and PowerPoint
  • Provide and receive complex information
Desirable criteria
  • Knowledge and understanding of health technical memorandum HTM guidance relating to healthcare environment
  • Experience in overseeing the work of a small team on such systems
  • Experience of working in a healthcare environment

Skills

Essential criteria
  • Experience of using complex IT systems for clinical and financial governance
  • Ability to work with a high degree of accuracy and attention to detail
  • Frequent concentration required with an unpredictable work pattern
Desirable criteria
  • Ability to interpret data and build reports using a range of techniques, data and information

Communication

Essential criteria
  • Deliver training to a range of users of the CAFM systems in use any associated hardware via face-to-face sessions and online.
  • Ability to communicate effectively with staff at all levels in the Organisation and with service providers
