Each part of our organisation plays a huge part in contributing to the seven priorities of our Strategic Plan, and as part of our contribution, Screening Division is looking for an individual with drive and ambition to join its Training team.
If successful you will be providing administration support to the Training team that deliver a wide range of accredited and non-accredited learning and development to our Screening staff. The post holder will ensure that all administration duties are carried out in line with the awarding bodies’ requirements and as part of the Healthcare Support Workers Framework.

Main duties of the job

Working as part of the Screening Division Central Training Team to provide administrative support to Assessors, Internal Quality Assurers and Workforce Development Managers.
- Provide administrative support for the delivery of the Level 3 Fundamentals of Health Screening qualification and its associated pathways to the Screening Workforce Development Team.

This role supports the Screening Workforce Development Team with learning and development activities. This includes administration tasks related to assessment, quality assurance, and learner support.

You’ll work with colleagues across Public Health Wales and partner organisations, meet deadlines, and maintain professional standards. The duties listed are a guide and may change, so flexibility is important.

Detailed job description and main responsibilities

Act as the first point of contact for internal and external queries related to learning and development activities.

Communicate professionally and respectfully with all stakeholders, including learners, ensuring confidentiality and following agreed processes.

Monitor and respond to emails and other team communications, including managing the shared SWDT and ESR learning compliance mailboxes.

Support assessors and Internal Quality Assurers by providing guidance documents and links to relevant training materials or signposting as needed.

Support procurement and budget processes.
-
Provide admin support to SWDT managers on projects.

Provide planning and organisational support to SWDT staff and stakeholders across the Screening Division.

Manage own workload, including emails and diary tasks.

Qualifications and Knowledge
Essential criteria
- Educated up to a level 4 qualification or equivalent level of knowledge and skills or experience.
- High level of proficiency in MS Office applications.
Desirable criteria
- IT qualification or evidence of current, recent practice.
- Knowledge of Public Health Wales and it’s screening programmes.
- Knowledge of learning and development administration and associated procedures.
Experience
Essential criteria
- Demonstrable experience in an administrative role.
- Demonstrable experience of communicating with colleagues and the public.
- Previous experience of processing confidential data and an awareness of the requirements of information governance.
- Previous experience of managing own workload and prioritising tasks.
Desirable criteria
- Previous experience of working within a learning and development setting.
Skills and Attributes
Essential criteria
- Excellent written and verbal communication skills, a high level of numeracy, written and spoken English.
- Ability to use discretion and maintain confidentiality.
- Highly organised with good time management skills.
