Job overview

We would love for you to join our Communication Hub team within Hywel Dda University Health Board. This is a dynamic patient and staff facing service.

The successful applicant will be working in a growing and motivated service providing a single point of contact for a variety of services across the Health Board. We respond quickly to the needs of the Health Board and its patients, which relies on being solution focused, quick thinking and able to follow detailed processes.

You will need to be able to respond positively to change and demonstrate excellent communication skills and a sound value base.

Main duties of the job

You will be responsible for supporting teams by inputting and answering various queries, booking appointments and processing referrals; via email, telephone and Microsoft forms and supporting members of the public and staff. The ability to demonstrate excellent interpersonal skills and keyboard skills (including attention to detail) are very important. Training will be given on our various software platforms.

If successful you will work on a 7 day rota. Shifts will be between the hours of 8am-5pm. You will be based in the Communication Hub at the Health Board headquarters site at St Davids Park, Carmarthen.

The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.

Hywel Dda University Health Board plans and provides NHS healthcare services for people living in Carmarthenshire, Ceredigion, Pembrokeshire, and bordering counties.

We have over 13,000 staff and together we provide primary, community, in-hospital, mental health and learning disabilities services.
We work in partnership with the three local authorities, as well as public, private and third sector colleagues, including our valued team of volunteers.

Our services are provided in:

•    Four main hospitals: Bronglais Hospital in Aberystwyth; Glangwili Hospital in Carmarthen; Prince Philip Hospital in Llanelli; and Withybush Hospital in Haverfordwest
•    Five community hospitals: Amman Valley and Llandovery hospitals in Carmarthenshire; Tregaron Hospital in Ceredigion; and Tenby and South Pembrokeshire hospitals in Pembrokeshire
•    Two integrated care centres: Aberaeron and Cardigan in Ceredigion, and several other community settings
•    47 general practices (six of which are health board managed practices); dental practices (including four orthodontic); 97 community pharmacies; 43 general ophthalmic practices; and 8 ophthalmic domiciliary providers
•    Numerous mental health and learning disabilities services

  • Good standard of education (5 GCSE’s at A-C including maths and English)
  • RSA III or equivalent demonstrable experience of word processing
  • IT literate with a comprehensive knowledge of Microsoft office packages including word, excel, power point, outlook and Teams.
  • Up to date skills in office systems and functions eg. Laptops, overhead projector, photocopiers, laminator
  • Bronze IQT
  • Handles difficult situations and ensures effective working by using a range of interpersonal skills
  • Ability to produce written reports and minutes in a clear, concise language.
  • Evidence of problem solving
Desirable criteria
  • ECDL
  • Educated to advanced level or equivalent
